Leverage the Lucid Suite to align your team and boost productivity. This article includes everything you need to configure your Enterprise account, customize the user experience, and manage your account for its full life cycle.
While you can customize most settings on your account from the admin panel, certain settings such as domain control do require assistance from Lucid as explained in the applicable section below.
To create a new Enterprise account or upgrade your existing Lucid account to Enterprise, refer to our Upgrade your Lucid account article. After you’ve upgraded to Enterprise, come back and read this article to configure your account.
Configure your account
Welcome to your new Lucid Suite Enterprise account! To get started, navigate to the Lucid admin panel and read on to learn how to customize the settings that are vital to the management of your account. Make sure to complete the account configuration steps provided here before adding users.
At this stage, you determine which sign-on methods to enable for your users and what the default authentication method will be when users join the account. You also customize your desired licensing settings and see instructions to prepare your network to ensure Lucid communication is received through your firewall.
To access the admin panel, follow these steps:
- Log in to your Lucid account.
- Select Admin from the left-hand menu.
- On the team setup page that appears, type in a name for your account and click Create Team.
- You only need to complete this step of creating a team name the first time you access the admin panel. On consecutive visits, you will be automatically directed to the Overview page.
Set sign-on methods
As you set the sign-on methods for your account, make sure to determine the default authentication method users need to use when they log in.
If you have domain control enabled, the default authentication method to verify users' identities must match the default user sign-in method set for the account. We strongly recommend enabling domain control to increase the security standard for your organization, including a requirement to verify a user's identification before they're added to your Lucid Enterprise account.
Note: Due to the security demands of domain control, you need to contact your Account Manager, Customer Success Manager, or contact sales to request setup.
Adjust licensing settings
From the Licensing settings page of the admin panel, you can:
- Determine whether new users that join the account are automatically granted a license or need manual approval by an admin.
- Determine if license requests from existing users are automatically granted or need manual approval by an admin.
- Indicate if you want additional licenses automatically added to your Enterprise account when you run out.
- Customize the license request dialog.
- Set admin notification preferences.
To see the full steps for automatically adding licenses to your account when you run out, refer to our Auto-upgrade article.
Prepare your network
If you filter traffic through a firewall by domain or IP ranges, refer to our Prepare your network for Lucid users article.
Add and license users
Now that you’ve completed the initial setup of your account, including configuring the licensing settings to match your account needs, you’re ready to start adding users. You can add users and manage licenses either from the Lucid admin panel or through a supported IDP via SCIM. Read the sections below to see the process for each option.
Note: You can either add users from the Lucid admin panel or through a supported IDP via SCIM—but not both. If you have SCIM enabled, any user licensing you do manually in the admin panel will be overwritten by the next SCIM provisioning cycle.
From the Lucid admin panel
From the Lucid admin panel, add users by email address, domain, or CSV import. You can:
- Create a new Lucid account for a new user. A new account will be created for the user and they’ll be automatically added to the Enterprise account
- Add a user with an existing Lucid account. Users with existing accounts receive an email invitation they need to accept in order to be added to the account.
Our Lucid admin panel: User management article includes instructions for each of these options.
Note: Newly created users that are added to an Enterprise account without a license do not receive an invitation to join that account. Instead, they are seamlessly added and greeted with a welcome email following their first login.
Once users are added to the account, you can assign Lucid Suite and Lucidscale licenses to them depending on the level of access they need. Also add limited-access users—these users don’t factor into the license count, but are provided with comment-only access to documents shared with them. To learn more, see our Limited-access users on an Enterprise account article.
Via SCIM
Using SCIM increases your account security, simplifies the user login experience across applications, and expands your options for license management. Refer to our SCIM overview article for a list of the supported SCIM providers and links to their associated documentation for configuration steps.
Manage users
User management is a key function of running your Enterprise account. Read this section for instructions to assign admin roles to certain users on your Lucid account, determine who documents will be transferred to when you delete or delicense users, and create organizational groups to organize users. Follow the instructions for completing these actions from the Lucid admin panel for manual account management, or via SCIM if you are managing your account using an identity provider.
Assign admin roles
Assigning admin roles to other users helps you streamline the management of your account. The roles you can assign to others on your account are:
- Account admin
- Billing admin
- Document admin
- Organizational group admin
- Templates admin
To learn more about the capabilities and limitations of each admin role, refer to the Lucid admin panel: Administrator roles article.
Plan for future ownership changes
If account ownership needs to be transferred to another user, in an instance such as a transition of responsibilities or the account owner leaving the company, ensure ownership is transferred prior to the responsibility shift to avoid disruption in your team's productivity. To see the steps, check out our Change the account owner article.
Tip: Keep in mind that only the account owner can reassign account ownership to another user on the account.
Create organizational groups to organize users
To assist in the management of your account, you can create organizational groups and subgroups to organize users, manage licenses, and set sharing permissions. Further, you can assign the responsibility to managing a particular group to an organizational group admin. Check out the Lucid admin panel: Group management article for more details.
Set a default document owner
When users are deleted or delicensed, which you will learn how to do in the next section, any documents they own must be transferred to a new owner. You can select a default document owner for your account—this user will have all documents be transferred to unless otherwise specified when an admin deletes or delicenses a single user. Doing so ensures that all documents are transferred to a trusted Lucid user. It also simplifies the transfer process by not requiring the input of an individual to receive the documents each time a user is deleted or delicensed.
Check out the Lucid admin panel: Compliance settings article for instructions to assign or change the default document owner on your account.
Note: If you are deactivating a user via SCIM, rather than delicensing or deleting, you don’t need to transfer their documents.
Delete or delicense users
As the account owner of the Enterprise account, you have the ability to delete or delicense users. Deleting a user closes their Lucid account permanently, while delicensing them keeps them on the Lucid account as a limited-access user. Limited-access users can view and comment on documents, but cannot make any other changes and do not factor into your license count.
Whether you delete or delicense a user, you need to transfer ownership of their documents to another licensed user when going through the deleting or delicensing process. Refer to the section above for instructions to set up a default document owner.
From the Lucid admin panel
For instructions to delete or delicense users from the Lucid admin panel, refer to our Lucid admin panel: User management article.
Via SCIM
If you use SCIM, refer to our SCIM Overview article to find identity provider specific documentation and instruction.
Note: If you have SCIM enabled, ensure that you delicense or delete users through your IDP. Any user licensing that you do manually in the admin panel will be overwritten by the next SCIM provisioning cycle.
Add more licenses
You can purchase additional licenses through the admin panel Overview page. To learn more and follow the steps, check out our Add more Lucid licenses article.
