Add a view to a workspace

  1. Navigate to the workspace where you'd like to add a view.
  2. Click All views from the navigation at the top of the workspace under the workspace title.
  3. Click the plus sign icon in the top-right corner of the panel that appears.
  4. Select a view type from the options then click Continue.
  5. Fill out the Name and Description fields along with any additional customization you desire under Customize View then click Add View. 

View types

airfocus has four key views to help you with the main jobs of prioritization and roadmapping. Read this article to learn how to use each one.

Table views

The table view is the place that helps you to collect everything in one place. This is also the view where you can prioritize what to do with an easy-to-use scoring system. Rate your projects and features against a set of strategy criteria.

Chart views

Chart views enable you to make better decisions with visualized priorities. Our algorithms calculate your priorities and visually plot them out on a 2x2 value vs. cost chart so you can make informed and more objective decisions.

With your decisions on what (to do), who (should be in charge), and when (status and/or timeline) you've now already done 90% of your roadmapping.

Board views

Create and adjust beautiful roadmaps in minutes. The board views are one of two roadmap views and help you visualize your priorities on a kanban board.

Timeline views

Timeline views are another way to visualize your roadmap. They visualize your roadmap on a Gantt chart and allow for detailed, time-based planning.

Gantt views

The Gantt view visually represents a logical timeline of projects or tasks that are needed to successfully deliver an initiative or opportunity. This view works wonders in conjunction with the airfocus hierarchy, giving you even better insight into how your items are related.

List views

airfocus list views enable you to see all workspace items in one place, including all of their children (sub-)items. This works not only on one level but on unlimited hierarchy levels.

Share views internally

When creating or editing a view, you can control who in your workspace can see and manage it under Team visibility.

Everyone

Select Everyone to make the view visible to all members who have access to the workspace.

Anyone with workspace access will be able to see the view.

Only members with Full workspace access can manage the view’s settings and permissions.

Private

Select Private to restrict the view to specific members or groups.

The view will only be visible to those who are explicitly added.

You can assign individual members/groups different levels of view permissions (view or manage).*

To prevent orphaned views, at least one member with Full workspace access must have manage permission for the view.

* Workspace permissions always define what’s possible. For example, members without Full workspace access cannot change team visibility settings in shared views, even if they've been granted manage access.

Note: Workspaces that existed before this update were automatically migrated to the new system. To preserve existing permissions, airfocus created member groups that match your previous view access setup. These groups may appear in your team and view settings but do not change how your views are shared - they simply ensure everything continues to work as before.

Creating custom views

You can create different views when working in an airfocus workspace. Some of them give you a good overview of your backlog, helping you to prioritize your tasks, features, or initiatives.

Other views help you to track the status and progress of your projects and tasks. You can create a view to compare a specific group of items or display them on a roadmap or release plan.

You can customize these views to your needs and this is how:

Whenever you create a new workspace it's possible to start from scratch or with one of our many templates. These templates will include default views that you can use as a basis and customize from there. When you start from scratch you would need to add all the views that you want to use by clicking on "Add View".

If you would like to add more views, click on the arrow next to one of your views and the "+" button. Then, select your desired view.

This is the place where you can add, edit and customize the views of your workspace.

You'll find a list of all your currently used views at the top of your workspace:

For each view, you will be able to:

  • Access the settings
  • Share the view
  • Duplicate the view
  • Pin only for yourself
  • Pin for everyone that has access to the workspace
  • Delete de view

You can also create private views that only you will be able to see and access. Add one by clicking on the "+" button next to private.

There are currently seven types of views that you can add to your workspaces:

How to customize item card details on each view

You can customize the display of your item cards in the item card details. This will allow you to select the specific information you want to display on your item cards.

You can edit the item card details per view like this:

  • Go to the three dots next to each view and click on "Settings". There you will find the Default display options:

  • Select which custom fields you want to display on your item card. The options will differ for each view type:
    • For Table views, you can edit which columns are displayed by default on the Table view.
    • For Chart views, you can edit which custom fields are displayed when hovering over an item bubble on the Chart view.
    • For Board views, you can edit which custom fields are displayed on the items cards of your Board view.
    • For Timeline views, you can edit which custom fields are displayed when hovering over an item on the timeline. You can also edit if you want to display the items fully colored on the Timeline view. In case you select the "Assignees" and "Integrations" fields, those will be displayed on the item "stip" on the timeline as well.

IMPORTANT: Keep in mind that the Display options accessible directly from your views are only temporary and on the individual user level. If the page is refreshed, the view will jump back to the default display options defined for this particular view.

When sharing a view, only the default Display options will be applied in the share link, NOT the temporary Display options.

Default display options

Together with the modularity of custom views we also provide you with the option to save your most frequently used display options per view.

Save time and hussle by defining what information your views should convey in a precise way.

Default display options allow you to define how you want to visualize information on each view and what fields to show or hide by default.

  • Go to the Settings tab in your view. There you will find the Default display options:

  • Decide which fields you want to display in your groups:

  • You can add sub-groups for further categorizing the items displayed in the previous group. 
    In the example below, you can see the objective as a group and the parent items as sub-groups for that objective.

  • And what information to display in the columns of your view.

  • Once you’re happy with the setup, hit the Update button to save your changes.

IMPORTANT: Keep in mind that the Default display options accessible directly from your views are only temporary and on the individual user level. If the page is refreshed, the view will jump back to the Default display options defined for this particular view.

When sharing a view, only the Default display options will be applied in the share link, NOT the temporary display options.

How to use Filters for your views

Using airfocus Filters will enable you to use each of the airfocus views in an even more flexible way. With Filters, you'll be able to create very specific versions of each of your views.

This comes in handy when you want to share your views with others (with our share-link feature).

Our Filters allow you to do multiple things:

You can filter for one or multiple properties of items (for example the names, dates, or whatever custom field you have created for your workspace. You could also add multiple filter groups which allow filtering for a combination of different item groups.

This could look like this:

This filter set would include all items that have a defined "Company objective" AND the status "Done" filled in "Roadmap lane" field.

You can see an additional filter group in the grey box. This filter group additionally adds all items that are not assigned to Andrew.

Filters can be added with an "And" or "Or" logic. This means that all items must match all of your filters (when you add them with "And") or that they must match at least one of your filters ("Or"). The same thing can be done for different filter groups. 

The filter options are also the place where you can find your archived items. You can filter for all archived items by clicking on the "View archived items" button.

All archived items will be displayed. This will give you the option to either delete them permanently or unarchive them again.
