Add a Gantt view in airfocus

The Gantt view visually represents a logical timeline of items. This view allows you to plan and visualize timing and dependencies effectively by giving each item its own fixed row on a timeline. Read this article to learn how to add and configure a Gantt view and which fields best support this visualization.

Gantt view basics

Gantt views provide a microscopic view of what needs to be done, by when, and who is responsible for it.

As a product manager, this view can help you plan your releases, allocate resources effectively, and protect your team from inaccurate estimates that can derail progress.

  • Plan and visualize timing and dependencies more effectively by giving each item its own fixed row on a timeline.
  • When using airfocus hierarchy, you can now visualize the data ranges of parents and their children on a single view, which shows their logical succession.
  • If the timeline of a child item exceeds that of its parents, both items will be color-coded to highlight the conflict.
  • Use auto-suggested dates on parent items to inherit the earliest and latest dates of its child items.

Add a Gantt view

To add a Gantt view to your workspace:

  1. Navigate to the workspace where you want to add a view.
  2. Click All views from the navigation at the top of the workspace under the workspace title.

  3. Click the plus sign icon in the top-right corner of the panel that appears.
  4. Select Gantt from the list of view types.
  5. Click Continue.
  6. Add a name for the view.
  7. Under “Timing field”, select the fields you want to display.
  8. Optionally, enter a description and customize the view’s filter, grouping, sorting, and display options.
  9. Determine the view’s visibility.
  10. Click Add view.

Configure dates and items

Manage the timing of your items directly within the timeline:

  • Set date ranges: Click and drag across an item's row on the timeline to set its start and end dates.
  • Modify timing: Drag an existing bar to move it, or drag the edges of the bar to extend or shorten the duration.
  • Handle hierarchy: Shaded areas on parent items represent the collective date range of their children. Click a parent bar, then select Set suggested date range to automatically apply the suggested date range based on its child items.
  • Add a milestone: Create a milestone field to attach significant events to items in your workspace. Milestones display as a vertical line in the view.

Adjust display options

Customize how you visualize your timeline by following these steps:

  1. Select Display from the top-right corner of the workspace.
  2. Adjust the following options as needed:
    • Color by: Select how bar color is determined.
    • Zoom: Adjust the timeline scale to days, weeks, months, quarters, or years.
    • Item links/Milestones: Turn item link lines and milestones on or off.
    • Item details: Determine which fields are visible on the view.
