Get started with fields in airfocus

Fields help you organize, group, and filter information on your workspace in different ways to personalize your airfocus workspace to fit your needs. Fields are great for providing flexibility around various use cases, such as enhancing your prioritization and expanding on item details.

Field types

Workspace fields

These are local fields created within a specific workspace. They are best for data that is unique to a single project or team.

  • Permissions: Can be created, edited, or deleted by anyone with Write access to the workspace.
  • Visibility: Only available within the workspace where they were created.

Team fields

These are global fields available across your entire airfocus team. They ensure data consistency for high-level reporting.

  • Permissions: Only Administrators can create or delete these.
  • Visibility: Can be added to any workspace across the organization.

Field categories

Regardless of whether a field is a workspace field or a team field, you can choose from the functional types below. To learn more about a specific field type, refer to the linked articles.

Manage workspace fields

Create a workspace field

Anyone with Write access to a workspace can create a new field in that specific workspace by following these steps:

  1. Click the three-dot menu to the right of your workspace title.
  2. Select Settings.
  3. Select Fields from the tabs at the top of the settings panel.
  4. Click + Add field from the bottom of the navigation menu on the left side.
  5. Select a field type.
  6. Click Continue.
  7. Add a name and description.
    • To make this field mandatory, select the "Required field" checkbox located below the description. When enabled, this field must be filled in before an item can be saved. This is an Enterprise-only feature.
  8. Customize your field with any other options that appear in the settings. These options vary by field type.

  9. Click Add field.

The new workspace field is saved to the left-side column, where it can be edited or deleted.

Edit a workspace field

To edit an existing workspace field, follow these steps:

  1. Click the three-dot menu to the right of your workspace title.
  2. Select Settings.
  3. Click Fields from the tabs at the top of the settings panel.
  4. Select a field from the options on the left side of the panel.
  5. Edit the settings as needed.
  6. Click Update.

Add fields to views

You can control how fields appear within specific views. Use the default display settings for essential data that should always be visible to your team across a shared view. Conversely, use temporary toggles on the view itself for details you only need to see for specific tasks.

Default display options

From the main page of your workspace, follow these steps:

  1. Click All views from the menu of views at the top of your workspace.

  2. Hover your cursor over the view you want to add a field to.
  3. Click the three-dot menu to the right of the view name.
  4. Select Settings.
  5. Under Default display options, select a field to make it active for this view.
  6. Click Update.

Display option toggles

If you need to see a field on your view temporarily, but don’t want it to appear all the time, follow these steps from the view within your workspace:

  1. Click Display from the view options at the top-right of the view.
  2. Select a field to make it active for this view.

Manage team fields

Team fields are available on Professional and Enterprise plans. Team fields allow airfocus administrators to create and manage custom fields that are universally available across all workspaces, ensuring consistency and efficiency for the entire team.

Add a team field

Team members with the Administrator role can add a team fields by following these steps:

  1. Click your name from the bottom-left corner of any airfocus page.
  2. Select Team settings.
  3. Select Fields from the options at the top of the settings panel.
  4. Select + Add field.
  5. Select a field type.
  6. Click Continue.
  7. Add a name and description.
    • To make this field mandatory, select the "Required field" checkbox located below the description. When enabled, this field must be filled in before an item can be saved. This is an Enterprise-only feature.
  8. Customize your field with any other options that appear in the settings. These options vary by field type.

  9. Click Add field.

The new team field is saved to the left-side column, where it can be edited or deleted. The team field is not automatically added to all workspaces but is available to be manually added where required.

Add a team field to a workspace

Only team members with Write permission can add a team field to a workspace.

  1. Click the three-dot menu to the right of your workspace title.
  2. Select Settings.
  3. Select Fields from the tabs at the top of the settings panel.
  4. Click + Add field from the bottom of the navigation menu on the left side.
  5. Select a team field from the options at the top of the panel.
  6. Click Continue.
  7. Click Add field.

Convert a workspace field to a team field

Team members with the Administrator role can change a workspace field to a team field by following these steps. This action is permanent and cannot be undone.

  1. Click the three-dot menu to the right of your workspace title.
  2. Select Settings.
  3. Click Fields from the tabs at the top of the settings panel.
  4. Select the field you want to convert from the navigation menu on the left side of the panel.
  5. Check the box next to “Team field” in the bottom-left corner.

  6. Click Update.

Note: If you want to use an existing team field in your workspace, you cannot merge a workspace field into it. Instead, you must manually copy the data from the workspace field to the team field.

Edit a team field

To edit an existing team field, follow these steps:

  1. Click your name from the bottom-left corner of any airfocus page.
  2. Select Team settings.
  3. Select Fields from the options at the top of the settings panel.
  4. Select a field from the options on the left side of the panel.
  5. Edit the settings as needed.
  6. Click Update.

Changes to a team field will be reflected in all workspaces where the field is being used.

Delete fields

Delete a workspace field

  1. Click the three-dot menu to the right of your workspace title.
  2. Select Settings.
  3. Click Fields from the tabs at the top of the settings panel.
  4. Select the field you want to delete from the navigation menu on the left side of the panel.
  5. Click Delete from the bottom-right corner of the panel.
  6. Check the box to agree that you want to delete the field.
  7. Click Delete field.

Delete a team field

Team members with the Administrator role can delete a team field from all workspaces by following these steps:

  1. Click your name from the bottom-left corner of any airfocus page.
  2. Select Team settings.
  3. Select Fields from the options at the top of the settings panel.
  4. Select the field you want to delete from the navigation menu on the left side of the panel.
  5. Click Delete from the bottom-right corner of the panel.
  6. Check the box to agree that you want to delete the field.
  7. Click Delete field.
