Collaborate with Breakout Boards in Lucidspark

With Breakout Boards, you can break a large group of people into small groups to take your brainstorming and collaboration to the next level. Whether you're facilitating collaboration with Breakout Boards or joining as a participant, read this article to learn more.

Create and manage Breakout Boards

Create a Breakout Board

You can create up to 50 Breakout Boards and participants can join each one when you start a collaboration session.

To create a new Breakout Board:

  1. Select breakout_board_icon_in_lucidspark.png the Breakout Board icon from the Primary Toolbar on the far left-hand side of a Lucidspark board.
  2. In the panel that opens, click the tile to Add new breakout.

New Breakout Boards are automatically labeled. To rename a board, join the board you want to update and type the new title in the upper left-hand corner. 

To access Breakout Boards you've already created, follow the steps in the Join a Breakout Board section below. 

Note: Breakout boards are only available in Lucidspark. To use them in Lucidchart, create the Breakout Board in Lucidspark, then use universal canvas to switch the editor to Lucidchart.

Manage participants

After all participants have joined the main Lucid document, start a breakout session by selecting Start Breakout from the bottom of the Breakout Board panel. This makes the panel with all created Breakout Boards visible to participants and they'll be able to select a board to join.

You can also share a direct link to a Breakout Board in two ways:

  • From the Breakout Board panel, hover your cursor over a board and select Copy direct link from its three-dot menu
  • From within a Breakout Board you're currently in, select Copy link in the upper-right corner

Note: Shareable links need to be enabled from the Main Board's Share settings to allow creation of and access to direct links.

When the session is over, click Call Back to bring everyone back to the Main Board. Participants can also navigate back to the main board themselves at any time by clicking Back in the upper-left corner.

Manage Breakout Boards

From the Breakout Boards panel, you have several options:

  • Click reverse-sort-icon-in-breakout-boards-panel-in-lucidspark the Sort icon in the top-right corner of the panel to reverse the order the Breakout Boards appear in the list.
  • Click Facilitation to open the Breakout Boards panel for all active collaborators.
  • Click Add all to canvas to add all Breakout boards to the canvas as embedded links.
  • You can add an embedded link of an individual Breakout Board to the Main Board by dragging and dropping its thumbnail out of the panel and onto the canvas.
  • Hover over a board’s tile and select the three-dot menu for board-specific options.

For each individual Breakout Board, you have the following options:

  • Join a board to participate.
  • Rename a board to customize its title.
  • Copy direct link to share with participants.
  • Duplicate a board.
    • Select Once to create one new copy.
    • Select Multiple times to make multiple copies of a board. You can have up to 50 total Breakout Boards per Lucid document.
  • Insert all content of a Breakout Board to the Main Board.
  • Delete a board.

Move content to and from Breakout Boards

You can move content to and from a Breakout Board by following these steps:

  1. Select an organizer shape or multiple objects on the canvas.
  2. Click the-copy-to-icon-in-a-frame-contextual-toolbar.png the Copy to icon from the Context Toolbar that appears.
    • Your organizer shape must have content in order for this icon to appear.
  3. From the available options, you can select:
    • Main board: Copy the selected content from the current Breakout Board to the Main Board.
    • Breakout Board: Hover your cursor over “Breakout board” and select an option to copy the selected content to a specific Breakout Board.
    • Lucid document: Hover your cursor over “Lucid document” and select an option to copy the selected content to a new or existing Lucid document.
    • Frame: Hover your cursor over “Frame” and select an option to move the selected content to a specific Frame. This option moves the content rather than duplicating it.

Access Breakout Boards as a participant

Join a Breakout Board

You can join a Breakout Board by clicking a direct link the facilitator or another collaborator has shared with you. If you don't have a direct link, follow these steps to open a Breakout Board.

  1. Access and open the Lucid document your collaborators are working from.
  2. Selectbreakout_boards_icon_in_lucidspark.pngthe Breakout Board icon from the Primary Toolbar to the left.
  3. Click the thumbnail for the Breakout Board you want to join.

When you're ready to return to the main board, click Back in the upper left-hand corner of the canvas. You can also selectbreakout_boards_icon_in_lucidspark.pngthe Breakout Board icon to choose a different Breakout Board to join.

Note: Participants will only see collaborators for the Breakout Board they are actively collaborating in.

FAQ

Who can create and access Breakout Boards?
Any user with edit permissions to a board can create a Breakout Board. Guest Collaborators and users on Free accounts can participate in existing Breakout Boards. Limited-access users can view Breakout Boards.

What is the maximum number of duplicate boards I can create?
You can have a maximum of 50 total Breakout Boards in a Lucid document. When making duplicates, this means the number you can make depends on how many Breakout Boards you already have. For example, if you already have 10 Breakout Boards, you can duplicate a Breakout Board up to 40 times, bringing the total to 50 Breakout Boards.
