Integrate Lucidspark with Zoom

With the Lucidspark app for Zoom, you can more easily integrate the magic of face-to-face teamwork into a world where many are working remotely. Read this article to learn how to bring collaborators together for more efficient meetings and up-level your remote brainstorming sessions.

Zoom admins: enable Zoom Apps and change account permissions

To get started, your Zoom account admin will need to enable Zoom Apps by following these steps:

  1. Open Account Settings
  2. Select the Zoom Apps tab.
  3. Enable the Zoom Apps Quick Launch Button.

By default, Zoom Apps are disabled on existing multi-user Zoom accounts. Toggling this setting on makes the Zoom Apps drawer visible in collaborators' Zoom clients.

Once Zoom Apps are visible, enable the Lucidspark app for use on your account.

  • Review our listing in the Zoom App Marketplace.
  • You will see a call to Install that is greyed out.
  • Click the Who Can Install link to pre-approve the app for all users at your organization.

Install the Lucidspark app for Zoom

To install and use the Lucidspark app for Zoom, you need to update to the latest version of Zoom (5.7.3 or later). To update Zoom, click your profile picture and select Check for updates or click here.

Once you verify you’re on the latest version, move on to the steps below.

  1. Go to the Zoom App Marketplace.
  2. Search “Lucidspark”.
  3. Select Install.
  4. If your Zoom admin has not pre-approved the Lucidspark app yet, click Request pre-approve.
    • An email will be sent to your admin, and you will receive an email once they have approved the app and you are able to install it.
  5. To grant access, click Authorize.

Uninstall the Lucidspark app for Zoom

There are two ways to uninstall: using the Lucidspark app for Zoom and through the Zoom App Marketplace.

While using the Lucidspark app for Zoom:

  1. Click the three-line menu by the board title.
  2. Select Log Out.

From the Zoom App Marketplace:

  1. Click Manage.
  2. Select Installed Apps or search “Lucidspark”.
  3. Select the Lucidspark app from the apps list.
  4. Click Uninstall.

Use the Lucidspark app for Zoom

Before you can use the Lucidspark app for Zoom, you need to enable and install the app by following the steps above. After the app is successfully installed, read this section for details on how to use it in Zoom’s desktop app, on a Zoom Room device, and as a meeting participant.

Invite participants to the Lucidspark app for Zoom

  1. Open a Zoom meeting.
  2. Select Apps from the menu across the bottom of the Zoom window.
  3. Open Lucidspark Whiteboard. You will see your Lucid Documents page.
    • If the document you are opening is in a repository, you need to open that repository before moving to the next step. Click Repositories from the navigation on the left side, then select the specific repository.
  4. Select an existing board and click Open board, or click + New Board.
  5. Use one of the following options to share your board on Zoom:
    • When you open a board, a dialog will appear prompting you to share your board. Click Share to Zoom.
    • Click Share from the top-right corner of the Lucidspark canvas. Then select Zoom share.
    • Click share-app-screen-icon-in-zoom.png the Share App Screen icon in the top-right corner of the Zoom panel to screen share and allow others to see your board.
    • Click send-app-icon-in-zoom.png the Send App icon in the top-right corner of the Zoom panel to share your board. Select the participants you want to share with, and click Invite.

Open a Lucidspark board from a Zoom Room device

Use the Lucidspark app for Zoom as a participant

  1. Join the Zoom meeting.
  2. When a Zoom user shares the Lucidspark app in Zoom, you will receive a pop-up notification and a chat notification inviting you to join the Lucidspark app. Click View in one of the notifications to accept the invitation.
  3. Select Add to add the Lucidspark app to your Zoom account. 
    • Note: If this is your first time using the Lucidspark app, Zoom will prompt you to install the Lucidspark app. 
  4. Click Authorize.
  5. Select Start brainstorming.
  6. If a board was shared with you in the original app invitation, then you will be redirected to that board. Otherwise, you will see your Documents page.
    • You can create a new board or navigate to an existing board by using the folder navigation. Find boards that were recently shared with you in the Shared with Me folder.

Here are some things to know:

  • To expand the board view, click and drag the board to the left, or click Expand in the upper-right corner of the Zoom panel. You can also pop out the board by clicking the three-dot menu.
  • Quickly share your screen by selecting Share in the upper-right corner of the Zoom panel.
  • To access the Lucidspark app within the Zoom desktop client when you are not in a meeting, click the Apps icon and Open Lucidspark. 
  • To create a new board, click + New board
  • To view an existing board, select the board and click Open board.

App permissions

The Lucidspark app needs some permissions to function properly. We only request information that is necessary to help you use the integration smoothly.

Product usage

  • We can open URLs in the browser to help users sign in and connect their Lucidspark account to Zoom.
  • We can determine whether the user is currently in a meeting to decide whether to prompt the user to share their board.
  • At the user's request, we can launch Zoom's App Invitation dialog, allowing the user to select participants to receive an app invitation.
  • We can detect when a user sends the Lucidspark app to others so we can grant access permission to recipients.

View profile and contact information

  • We request the user's Zoom userId to distinguish them from other Zoom users.
  • We request the user's email address to help them sign in to their existing Lucidspark account or sign up for a new Lucidspark account.
  • We request the user's first and last name to associate it with the Lucidspark account that we create.

FAQ

Can I print or download a board from within the Lucidspark Zoom App?
No. To print or download a board, you’ll need to open the board in your browser.

Can I access the Lucidspark board my collaborators worked on after the Zoom meeting?
Yes, but you need to have been signed in to your Lucidspark account during the Zoom meeting collaboration session. As long as the board is still shared with you, you can find it in the Shared with me folder of your Documents page.

I’m the admin of a Zoom Enterprise Account. Do I need to authorize the Lucidspark Zoom App before my account members can use it?
Yes. If the Lucidspark Zoom App is not authorized, users can find it in the Zoom Apps list and send a request for authorization.

Can Zoom Apps be used in Zoom Breakout Rooms?
No. Zoom Apps are not currently available in Breakout Rooms. However, you can open Lucidspark in Zoom while you are in a Zoom Breakout Room.

I received an error from Zoom that I need to sign in to use Zoom apps. What are the next steps?
First check that you're on the latest version of Zoom. Next, ensure you are logged in to the same account on Zoom client (desktop app) and Zoom web (web browser).

When I invite participants to a Lucidspark board using the Zoom app, some of them aren’t receiving the invite and cannot join the board. How can they fix this?
Make sure all participants are on an account that can use Zoom Apps by having them check if they can see the Apps drawer while in the Zoom meeting. If they can’t, they won’t be able to receive an app invitation because Apps are disabled for that participant. This might be caused by:

  • Participant’s app client being outdated (must be 5.7.3 or later).
  • Participant is not currently signed in.
  • Participant is on a separate account from the sharing user and their admin has disabled Zoom Apps altogether.
  • Participant is joining from Linux, mobile, or a web client (Zoom currently requires participants to join from Mac or PC in order to use Apps).
