This article reviews the enterprise admin customizations that can be made to our Salesforce integration. Advanced features for the Salesforce integration require both an Enterprise subscription and Salesforce admin setup. See the “Salesforce Integration Feature Comparison” section below for a list of these advanced features. Integration overview

Give your team the tools they need to visualize their path to sale by integrating your Salesforce instance with Lucidchart. With the Salesforce integration, users will be able to access Lucidchart directly from Salesforce and all Salesforce-linked documents will be shared automatically with the team to ensure alignment across your Sales org. As the Lucidchart admin, you’ll be able to customize and choose what data is imported from Salesforce into Lucidchart. Your team will then be able to visualize key influencers, roadblocks, and internal relationships by building account maps using the data imported from Salesforce. Within their account maps, users will also be able to create new contacts that sync right back to Salesforce, removing the need for them to switch back and forth between programs. Special features such as Contact Kanban, which automatically groups contacts based on categories like department, speed up the process of building meaningful account maps. Leverage the Salesforce integration with Lucidchart to enable your Sales org to make the most of your Salesforce data and close bigger deals faster.

Basic and advanced feature comparison

Advanced Salesforce integration features require a Lucidchart enterprise license and must be enabled at the admin level. Review the chart below to understand which features require a Lucidchart enterprise license and admin setup.

Technical requirements and specifications

Lucidchart subscription

You must have an Enterprise subscription of Lucidchart to customize the Salesforce integration and utilize the advanced features listed in the Admin Setup Comparison table above.

Salesforce edition

Lucidchart communicates with Salesforce through Salesforce’s Web Services API. By default, the two higher tier editions of Salesforce (Enterprise and Unlimited) are packaged with the Web Services API. If you are on the Essentials or Professional edition of Salesforce, you will need to purchase the Web Services API in order to utilize the Salesforce integration.

Production versus sandbox

The integration between Lucidchart and Salesforce can be implemented with a sandbox or a production instance of Salesforce. Take note that integration setup and any customizations would need to be redone if you wanted to move from a sandbox instance to a production instance.

Required Salesforce objects and fields

Lucidchart requires access to specific Salesforce objects and fields in order to provide the integration functionality. These required objects and fields are as follows:

Account

- Last Modification Date
- Department
Opportunity
- ID
- Account ID
- Name
Opportunity Contact Role
- ID
- Opportunity ID
- Contact ID
- Role

Users must have access to these standard objects and fields in order to use the Salesforce integration. These objects and fields are integral to the Salesforce integration functionality in Lucidchart.

Salesforce field permissions

Field permissions within Lucidchart follow Salesforce permissions. Whether a user has view-only, edit, or no access to a field, Lucidchart will respect the Salesforce permissions set for each user.

The field must be Visible to be seen within Lucidchart
If the field is Read-Only, it will not be editable within Lucidchart

Since these permissions are determined by Salesforce and simply respected by Lucidchart, any changes will need to be set through field-level permissions in Salesforce.

Within Salesforce, you can allow user profiles to edit read-only fields (if you choose). Lucidchart respects all Salesforce permissions, so if users can edit in Lucidchart it’s because they’re allowed to edit in Salesforce. Lucidchart will never give users more editing permission than Salesforce does.

Restrictions on importing additional Salesforce data

The Salesforce integration can pull in extra Salesforce data beyond Contacts. There are, however, restrictions on what data can be pulled. The Salesforce integration always starts with the Account as the root object. From there, Lucidchart can pull objects that are children or grandchildren of the Account. Contacts and Opportunities must be direct children of the Account.

The Salesforce integration can pull additional data objects into Lucidchart as long as the data is within two levels of the Account standard object. Instructions on importing additional data objects from Salesforce into Lucidchart can be found here.

While Lucidchart can pull and display any Salesforce field that is accessible via the API, these are the types of fields that are editable within Lucidchart:

How Lucidchart and Salesforce communicate

Salesforce integration setup in Lucidchart

Before setting up this integration, make sure you review the requirements above.

To begin, make sure you’re logged in to Lucidchart.
Click Admin.
- Note - If Admin does not appear in the left sidebar menu, this means you are not a team admin and you do not have permission to enable this integration. Contact your company’s Lucidchart admin to be given the Team Admin role.
From the Admin Panel, click App integration in the left-hand menu.
From the dropdown, select Lucidchart.
Scroll down and click on the Salesforce tile.
From here you can link your Salesforce instance to Lucidchart. Select Production or Sandbox depending on the Salesforce instance you wish to connect and click “Link Instance”. If you are unsure which one to choose, you’re most likely using a Production Salesforce instance so select the Production instance option. In a new tab, you’ll be prompted to log in to Salesforce and allow Lucidchart to access your Salesforce data.

Once you’re done, you’ll see a success message indicating that your Salesforce instance has been successfully linked to Lucidchart.

Now, go back to the Team Admin page by selecting Admin.
Click Identity Management in the left-hand menu.
Make sure that the "Allow Salesforce single sign-on" box is checked. This enables Lucidchart to be launched from Salesforce. Be careful that you don’t set Salesforce as the only login or the default login method.
Click Save changes.

Lucidchart Salesforce user group management

Lucidchart offers tailored document management for Salesforce-linked documents via a Salesforce folder in the documents list. Users can navigate to this folder directly from Salesforce and will automatically receive access to all documents within this folder. Access to these document management features is limited to members of the Salesforce User Group. We recommend adding all sales users to this group.

To manage the Salesforce User Group, click on the Document management tab within the Salesforce Integration.
Under the “Salesforce User Group” section, click on the Manage membership button.
The Users page is where you can add and remove users from the Salesforce User Group.
- To edit a user’s group membership, click on the user in your user list. You can select multiple users by holding down “Control” on your keyboard.
- Click Edit next to “Teams and Groups” in the right panel.
- Hover over the Salesforce User Group, then click the “Plus” sign next to the group name. Click Confirm to save
- Be sure to add yourself to the group as well, if you are not already added.

Configuring the Lucidchart button in Salesforce (optional)

Your integration is installed and customized. Now it’s time to install the Lucidchart button in Salesforce. This button setup will allow your users to access the account-specific Lucidchart folder directly from your Salesforce instance. Additionally, any Lucidchart documents created in these account-specific folders will be shared automatically with everyone in the Salesforce User Group. Salesforce admin permissions are required for this button setup.

Select Setup from the top-right corner of your Salesforce instance.
Navigate to “Quick Find” on the left side, and type “AppExchange”.
Search for and select Lucidchart. Click Get It Now.

Fill out the “Tell us about yourself” form.
Click confirm and install.
Select the desired option regarding installation by user type. You’ll receive a confirmation once the installation is complete.

From the Object Manager on the top-left of the Salesforce page, select Account.
Select Page Layouts, followed by the desired page layout name.

In Salesforce Lightning, select Mobile & Lightning Actions from the Account Layout and drag the Lucidchart Folder button to the “Salesforce Mobile and Lightning Experience” section, and click Save.

Awesome work! It’s time to test out the integration. Navigate to any account within your Salesforce instance based on your setup above and click Lucidchart Folder found on the top-right of the page. This will launch the integration and drop you into a Lucidchart folder for your account. From here, users can create a new blank document or open existing documents and the customized fields you set up previously in the integration settings page will be imported into this document. Users will be able to drag and drop Salesforce contacts and any other imported objects and fields onto the Lucidchart document to visualize information pertinent to the deal they’re working on.

Now that the integration is installed, it’s time to customize your settings! To walk through the menu options on the Salesforce Integration page, read through the sections below.

Contact fields

The Contact fields section is where you can choose which of your Salesforce contact fields you want associated with your contact shape in Lucidchart.

To include a field, search for the field in the list of Available Fields, then drag the field you want from the Available Fields column over to the Contact Shape or Additional Details section.
Contact Shape fields will show up on the face of your contact card when it is placed on the canvas.
Additional Details fields will be nested in the Contact Details panel that shows up when you click on a contact card.
If you would like the notes reps add in Lucidchart to sync to Salesforce, drag and drop the appropriate Salesforce field into the Notes section. Make sure to use the Salesforce field that you use for keeping notes on Contacts. It may be called "Notes", "Description", or something else depending on your Salesforce setup.
When you’re finished, click Apply changes.

Contact role visualization

Lucidchart offers color coding capabilities to help you quickly visualize your Salesforce contact roles on contact cards. This is where you can customize the colors associated with your contact roles. You can see an example of how the role on the contact card will look here.

Here are the Contact Roles that exist in your Salesforce instance. Note: the values for these Contact roles cannot be modified from Lucidchart, but if you add new roles in Salesforce, they will show up here.
Click on the color wells to change the color associated with each role.
When you're finished, click Apply Changes.

Contact creation rules

The Contact creation rules section allows you to select which fields are required when your users create new contacts in Lucidchart that sync back to Salesforce.

It is recommended that you select the same fields that are required to create a new contact in your Salesforce instance. You can also require additional fields if you’d prefer.
When you're finished, click Apply Changes.

Additional objects

The Additional objects section is where you can choose additional Salesforce data objects and fields that you’d like to import into all Salesforce-linked Lucidchart documents. The restrictions on which objects you can import are documented here. To include a field from one of these additional objects:

Click Get Started.
Search for the object you want to import. Note: we recommend the most popular Salesforce objects imported into Lucidchart at the top of the list. If you do not see the object you want to import, it's not available for use within Lucidchart.
Click to check the box next to the object. You can select multiple objects if you’d like. Once you have finished your selection, click Import.
Select the object you just imported in the Imported Objects column. You’ll see the "Available object fields" and "Selected object fields" columns.
Choose which field to include from the center "Available object fields" column and drag the field over to the "Selected object fields" column.
When you're finished, click Apply Changes.
