This article reviews the features of the Lucidchart Salesforce integration—including advanced features that can be enabled on an enterprise account through your Lucidchart admin. See the feature comparison table below for a list of these advanced features.

Integration overview

Visualize your path to sale by leveraging the Salesforce integration with Lucidchart. With this integration, you can access Lucidchart directly from Salesforce and all Salesforce-linked documents will be shared automatically with your account to ensure alignment across your Sales org.

You’ll be able to visualize key influencers, roadblocks, and internal relationships by building account maps using the data imported from Salesforce. Within your account maps, you’ll also be able to create new contacts that sync right back to Salesforce, removing the need to switch back and forth between programs.

Special features such as Contact Kanban, which automatically groups contacts based on categories like department, speed up the process of building meaningful account maps. Leverage the Salesforce integration with Lucidchart and make the most of your Salesforce data to close bigger deals faster.

Basic and advanced feature comparison

Certain Salesforce integration features require a Lucidchart enterprise license and must be enabled by your Lucidchart and Salesforce admins. Review the chart below to understand which features require a Lucidchart enterprise license and admin setup.

Access Lucidchart documents from Salesforce

You can access your Salesforce-linked Lucidchart documents directly from Salesforce or from within Lucidchart.

Login to Salesforce.
Navigate to an account page.
Click Lucidchart Folder on the top-right of the page.
- This will open the Lucidchart folder associated with this account. Any documents created for and linked to this account will be listed in this folder.
From the folder, open an existing document or click + New to create a new Lucidchart document.

Your Salesforce objects will be displayed on the left-hand side of the editor.

Changes you make on the document will automatically be saved. You can make changes to Salesforce data within Lucidchart as long as you have edit permissions for this data in Salesforce and the changes abide by your instance’s rules and restrictions.

If you want to access these same documents from Lucidchart,

Log in to Lucidchart.
Click Documents in the left-hand panel.
Select the section called “Salesforce”.
- If you aren’t seeing this section in Lucidchart, you may not be part of the Salesforce User Group. Contact your Lucidchart admin to be added to the group.

All changes made to the Salesforce data within these documents will also sync back to Salesforce.

Add Salesforce contacts to your account map

Once you’ve opened a Lucidchart document, you can begin adding contacts to the canvas.

Click Contacts from the top of the Shapes menu on the left-hand side.
- If you have an account with a lot of contacts, you can use our search feature to find them. In the search bar at the top of the contacts list, you can search according to any information that appears on the contact cards in the list
Click and drag contacts onto the canvas.

Create a new contact from Lucid

As you build your account maps on sales calls and in deal reviews, you’ll most likely want to add contacts to the canvas that aren’t created in Salesforce yet. Rather than going back to Salesforce, creating a contact, and then finding it in Lucidchart, you can create a Salesforce contact right within your Lucidchart document and it’ll sync back to Salesforce.

Open the contact list.
Click and drag New Contact from the bottom of the list anywhere onto the canvas.
Fill in the contact information that your Salesforce Admin requires.
Click Create Contact.
- Upon successful creation, you will see your new contact on the canvas and that data will be immediately synced back to Salesforce.

If you navigate to your Salesforce contact list and refresh the page, you’ll see your newly added contact in Lucidchart appear here in Salesforce with all the new information.

View and change contact details

Viewing contact details while building or viewing an account map in Lucidchart provides better insight into your key contacts and can help you save time as you’re working to close the deal.

Select a contact.
- The Contact Details panel will open. You’ll see various fields like department, email, and phone number. These fields can be customized by your Salesforce admin, so you may see different fields than these. To add or remove fields to the Contact Details panel, speak with your Lucidchart admin.
Click any field to begin editing.
- These changes made in Lucidchart will sync right back to Salesforce.
To add a photo to your contact, click the image placeholder on the Contact Details panel. When you hover over the image placeholder, an upload dialog will appear.
Upload a saved image or an image URL.
Click Save Photo.
- Your image will appear in both the Contact card and the Contact Details panel.
Click the Salesforce icon to be routed to the contact within Salesforce.
- If you make any changes in Salesforce, those changes will be displayed in the Lucidchart document after refreshing the page.

How to assign a contact to an opportunity and a role

Assigning contacts to opportunities will allow you stay on top of complex deals and understand each individual’s role throughout different opportunities within the account.

To assign a contact to an opportunity, select any contact and navigate to the “Opportunity Details” section of the Contact Details panel.
Select the “Opportunity” dropdown menu.
- This dropdown will show all the opportunities this contact is already assigned to in Salesforce.
Click one of the opportunities to change which opportunity (and associated contact role) the contact card is displaying on the canvas.
To assign the contact to a new opportunity, click the Assign to Opportunity.
- A dialogue box will appear, and you can search for any opportunity related to this Salesforce account.
Select an opportunity.
Click Assign.
- The contact will now be assigned to the chosen opportunity in Salesforce. Now you can assign the contact a role that will be associated with this new opportunity.

Successfully navigating a deal requires you to understand the political landscape and how individuals are related to each other. This can be difficult when solely working in a CRM. Account maps in Lucidchart make it easy to understand and visualize relationships and roles of key stakeholders in the deal—ultimately helping you close the deal faster. Visualizing roles can be done by utilizing Salesforce contact roles within your Lucidchart account map.

To assign a role to a contact, select a contact and navigate to the “contact role” field on the Contact Details panel.
- If this field is disabled, it could be because you don’t have edit permissions to the Salesforce data or there is no opportunity currently selected for this contact.
Select the "Contact Role” dropdown.
- You’ll be given a list of different contact roles. These come from your Salesforce instance and may have been customized by your sales manager or Salesforce admin.

Once you assign a role to the contact, the coordinating color and label will appear on the contact shape.

Keep in mind that when you assign a role to a contact in Lucidchart, the appropriate field is automatically updated in Salesforce—there’s no need to go back into Salesforce and update it.

Build a hierarchical structure

Depicting hierarchical structure is crucial as you’re building an account map. It’s easy in Lucidchart.

Once you have several contacts on the page, you can add solid lines to show the reporting structure amongst different contacts.

Select a contact shape.
- A red dot (called a node) should appear.
Click the node.
Drag the line to another contact shape (or any object on the canvas) and let go.
- Notice that as you move shapes after you’ve connected them together with a line, these shapes will stay connected.
To delete a connection, select the line and hit the delete or backspace key on your keyboard.

We recommend using the standard, solid lines to depict hierarchical structure. If you want to experiment with different line types, like elbow, straight, or curved, you can explore those options here in the properties bar. Line thickness and other line properties can be found here as well.

To change the style of a single line, select it and then select the property you want to change.

To change the style for multiple lines, click and drag to select a group (or hold command/shift and select individual lines), then select the property you want to change.

To change the default for all lines or shapes moving forward, ensure you have nothing selected on the canvas and then change the appropriate setting. Now any new lines you draw will be created with your new formatting settings.

Visualize relationships

In order to strategically approach a deal, it’s crucial you understand the political and interpersonal relationships in an organization. These are hard to understand and envision when information is kept in a CRM. Showing these relationships in Lucidchart is easy.

We recommend using a combination of line types and line colors to depict the various relationships between individuals. It can be helpful to use different line types to make reporting and non-reporting relationships easier to understand and visualize.

Solid lines will typically denote a reporting or hierarchical relationship. These can be elbow, straight, or curved lines.

Dotted lines typically indicate an unofficial or indirect relationship. Additionally, visualizing the sentiment for these internal relationships can help you define and understand the political landscape. Use different line colors, such as green and red, to indicate the sentiment of a relationship.

On this diagram, you can see we just have the reporting structure displayed now with solid, curved lines. If you want to show the sentiment for each of these reporting relationships, you can color code them red or green. Red typically indicates a strained relationship while green is a healthy relationship. You can leave the line black if you’re unsure of the sentiment or if the sentiment is neutral. You can manually change these by clicking on the line, navigating to the line color menu in the properties bar, and selecting a color. If you want to use a shortcut, you can navigate to and right-click the type of line you want to use, select copy style, and paste that style to any other line (or lines) throughout your account map.

You can do the same thing with non reporting relationships. Once you’ve visualized the reporting relationships, you can add influential relationships that are critical to understand, and in some cases, stronger than reporting relationships. Show these relationships by making a dotted line between the contacts.

First, select a line.
Navigate to the properties bar and click the line type menu.
Select the dotted line option.
You will now notice that the line you have drawn has changed to a dotted line.

Again, as a shortcut, you can draw these lines and then copy the style of an existing line and then paste that style onto any line within your document.

As you continue navigating the account, visualizing and understanding these relationships will be critical to creating consensus amongst your buyers and closing the deal.

Organize account maps with Containers

As you work complex deals, you’ll most likely be working with individuals that sit across many different businesses, geographies, and project groups. Organizing these groupings makes it easy to understand how those individuals relate to each other, which is critical to winning the deal—especially when managers and team members are viewing these account maps.

To create groupings, click More shapes at the bottom of the Shapes menu on the left-hand side.
Locate the Containers library.
Check the box next to the library.
Click Use Selected Shapes.
- The Containers library will appear in your Shapes menu.
Drag a Container onto the canvas.

By default, everyone within the container will follow when you move the container. If you want to move the container without moving everything inside, just click the “magnet” icon on the right side of the properties bar. This will toggle the “magnetic” element of the container. example

As a tip, there are lots of different things you can do with these containers. We recommend adding text boxes to each container to label the group. You can find text boxes in the shape library called “standard”. Drag and drop a text box anywhere on the canvas, edit the text, and you’re good to go. Color coding these containers can also help you better visually distinguish groups from one another and gain better understanding of the deal. Select the container, click the paint can in the properties bar, and select the color you want to fill the container.

Group contacts with Contact Kanban

The Contact Kanban is a great way to automatically visualize contacts from your Salesforce account that can be separated into groups based on Department or Title.

Click Contacts from the top of the Shapes menu.
Drag the "New Kanban" shape onto your canvas.
Click the “Group Contacts By” drop-down menu found on the right-hand side of the page.
- For example, if you select “Department” from the drop-down menu, you will see the titles of the columns within the Contact Kanban change to show different names of Departments within your Salesforce account.
- You may also notice that some of the contact cards will show in an “Uncategorized” group. This means that the “Department” field for these contacts has not yet been populated within Salesforce. Not to worry though! When you drag a contact into one of the “Department” columns, it will update the Department field of that contact in Salesforce for you!
To add a contact to a Department, click the plus sign icon and search for the contact that you want to add and select their name.
- If you cannot find the contact you are looking for, you can create a new contact by clicking Create a New Contact at the bottom of the search panel.
To create a new column (in this example, a new department), you can click the plus sign icon found next to the “Manage Containers” section within the contextual panel.
- When you click this button, you will be prompted to type in the name of the new Department.
To hide or show columns (or Departments), click the checkbox found next to the department names within the contextual panel on the right.

Add smart fields to your account maps

Smart fields are shapes in Lucidchart that display Salesforce data beyond contacts—like data from the Account, Opportunity, or even a custom object. Smart fields can help you visualize key Salesforce information in your account maps, and of course, if you edit the data in Lucidchart it’ll sync back to Salesforce automatically.

Once you’ve opened a Salesforce-linked document in Lucidchart, you’ll see all the available shapes and shape libraries on the left side of the canvas. At the top, you’ll see a section labeled with the name of the account with a set of imported Salesforce objects underneath. Each one of these imported object sections can be expanded to reveal Salesforce objects and fields that you can drag and drop to anywhere on your Lucidchart document. These Salesforce objects are customized by your Lucidchart admin. If you need additional Salesforce objects and fields added to your account, contact your Lucidchart admin.

Drag and drop any of the fields from the data panel to your canvas to add a Smart Field to your account map. You can display all the data fields in one shape by dragging the entire Salesforce object to your canvas, or you can add individual fields, such as “Industry”.

You can see how the data displayed on the shape corresponds with the Smart Fields on the right contextual panel. To change which fields are displayed on the Smart Field shape, click and un-check the box next to the field you do not want displayed. You can also choose if you want the field titles displayed by toggling Field Titles.

To edit the data that is displayed on your Smart Field shape, double-click the Smart Field and type to edit the data. It’s important to remember that this data is being pulled directly from Salesforce. That means if any changes are made to the data by you or anyone in Salesforce, those changes will be reflected on your Lucidchart document. This ensures that whoever is viewing your diagrams is always consuming the most accurate, up-to-date information.

Additionally, edits made in Lucidchart will sync depending on your permissions in Salesforce. If you find you are unable to edit the information, it is most likely due to restricted permissions on editing certain account information within Salesforce or that type of field is not supported within Lucidchart.

View activity metrics for your account maps

Activity Metrics provides valuable data to evaluate adoption of account documentation initiatives across your sales org. For each Salesforce account that has corresponding Lucidchart account maps, leaders can see collaborators, number of documents created, number of contacts mapped, and date last modified.

Log in to Lucid.
Select Documents from the left-hand navigation.
Open the “Salesforce” Folder.
- If you do not see this folder, check with your admin to make sure that the Salesforce Integration is set up with Lucidchart and that you are part of the Lucidchart Salesforce User Group.
- To view Activity Metrics, you must use “List View” (instead of “Grid View”). To use “List View”, click the bulleted list icon in the top right corner of your documents list to toggle views.
- To personalize which metrics appear, select the metrics you want to view by clicking on the icon to the right of the “Views” icon. Up to 5 columns can be selected.

To evaluate which accounts your users are focusing on, let’s go through what a few of these metrics mean.

Collaborators shows which users have opened this document (or in the case of folders, which users have opened any document within this folder) in the last three months, ordered by recency. You can hover over the initials to view the full name of the collaborator. If there are more than four collaborators, you can click the + button to see a list of all collaborators.
Modified shows the last time a document or document within the folder was modified. We recommend filtering your list by the Modified column, to show the most recently modified documents and determine if individuals are updating account maps.
When viewing a list of folders, Contacts, shows the combined number of Salesforce-linked contact shapes that occur on all documents within the folder. For a document, this shows the number of Salesforce-linked contact shapes that are currently on the document. This metric will help you determine if account maps are being created within the document.

To view these activity metrics for a specific folder or document, navigate to that account by searching the account name in the search bar.
