Personalize your Lucid documents with profile shapes

Help your team feel welcome and engaged by humanizing your Lucid documents with profile shapes. With profile shapes, you can create a team roster, visualize ownership of responsibilities, and easily assign out tasks. Read this article to learn more about how this simple yet powerful tool can enhance your team’s collaboration.

Add a profile shape to the canvas

To add a profile shape to your Lucidchart document or Lucidspark board, access the profile shapes bank by following these steps:

  1. Click quick-tools-icon.png the Quick tools icon from the Primary Toolbar on the far left-hand side of the workspace.
    • If you don’t see this option in Lucidspark, click more-tools-icon-from-lucidspark-primary-toolbar.png the More tools icon from the bottom of the Primary Toolbar.
  2. Select Profile shapes under “Quick shape banks” and drag it onto the canvas.
  3. Drag a profile shape from the shape bank onto the canvas.
    • Add more collaborators’ profile shapes to the shape bank by clicking the plus sign.

    • Remove a profile shape from the shape bank by right-clicking and selecting Delete shape bank item.
    • Refresh the profile shape bank by selecting and clicking refresh icon.PNG the Refresh all profile shapes icon. If collaborators have changed their name, photo, or collaborator color, refreshing will update the shape bank to reflect these changes.

You can also add a profile shape by dragging the profile image or initials for yourself or any active collaborator from the top-right corner of the page onto the canvas.

When you hover over a profile shape, a green dot in the lower-right corner of the image next to a collaborator’s name indicates they are currently active on the document. If they’re not active, the dot appears white.

Tip: If you have not uploaded a profile image, your profile shape appears as your initials. To add a profile image, select your initials from the top-right corner of the page, then click Update Photo.

Customize a profile shape

You can customize your profile shape by updating it to a new user, changing the shape or color, addinf a custom name, or locking it in place.

Update shape to a different collaborator

To update a profile shape to represent a different Lucid user, follow these steps after adding a profile shape to the canvas:

  1. Access the profile shape options:
    • In Lucidchart, select the profile shape, then click contextual-panel-icon in-lucidchart.png the Contextual Panel icon in the top-right corner of the canvas.
    • In Lucidspark, select the profile shape.
  2. Click the name displayed in the shape options to open a dropdown of collaborator options.
  3. Select a new user.
    • You can also select Blank to create a blank profile shape for later use.

Tip: You can also add a different collaborator’s profile shape by dragging their profile image or initials from the list of active collaborators at the top of the document.

Show or hide user name

Your profile shape has two name display options:

  • Avatar: Displays only your profile image or initials in a circle shape.
  • Name: Displays your profile image or initials and your full name in a pill shape.

To adjust the style of a profile shape, follow these steps:

  1. Select the profile shape bank or an individual profile shape on the canvas.
  2. Click the "Avatar" or "Name" dropdown from:
    • The Contextual Panel on the right-hand side of the screen in Lucidchart.
    • The context menu that appears in Lucidspark.
  3. Select Avatar or Name.

Change profile shape color

The steps to change the color outline of a profile shape vary depending on whether you are in Lucidchart or Lucidspark. See the sections below for steps in each product:

In Lucidchart

  1. Select a profile shape on the canvas.
  2. Click line-color-icon.png the Line color icon from:
    • The Formatting bar at the top of the page in Lucidchart.
    • The context menu that appears in Lucidspark.
  3. Select a new color.

Add a custom name to a profile shape

To add a custom name to a profile shape rather than using a specific person from your Lucid account, follow these steps:

  1. Drag any profile shape onto the canvas,
  2. Access the profile shape options:
    • In Lucidchart, select the profile shape, then click contextual-panel-icon in-lucidchart.png the Contextual Panel icon in the top-right corner of the canvas.
    • In Lucidspark, select the profile shape.
  3. Click the name displayed in the shape options to open a dropdown of collaborator options.
  4. Select Blank.
  5. Type a custom name in the text entry box.
    • In Lucidchart, this appears directly below the dropdown where you selected Blank.
    • In Lucidspark, select profile-shape-style-options.png the Shape style icon to locate the text entry box.

Lock a profile shape in place

The steps to lock a profile shape in place on the canvas vary depending on whether you are in Lucidchart or Lucidspark. Check out the sections below for steps in each product:

In Lucidchart

  1. Select a profile shape on the canvas.
  2. Click lock-icon.png the Lock icon from the Formatting bar at the top of the page.

In Lucidspark

  1. Select a profile shape on the canvas.
  2. Click lock-icon.png the Lock icon from the context menu that appears.

Follow the same steps to unlock a profile shape.

Assign tasks with profile shapes

With profile shapes, you can assign tasks in Lucid more efficiently. Read the sections below to learn more.

Using Lucid Cards

To assign a Lucid Card to a collaborator using a profile shape, drag and drop a user’s profile shape onto a Lucid Card. The assignee field on the Lucid Card will automatically be updated to the corresponding user.

This functionality currently works with standard Lucid Cards, Jira Cards, and Asana Cards. Jira and Asana Cards sync bidirectionally, meaning if you change the assignee of a card in Lucid, the change is automatically reflected in Jira or Asana.

Tip: Create a custom shape bank of profile shapes to have on hand to quickly assign out tasks.

In Lucidspark, you can automatically generate an @ mention for a user from their profile shape by following these steps:

  1. Select a profile shape.
  2. Click tasks-comments-icon-in-lucid.png the Comment icon from the context menu that appears.
  3. Type a message in the input box.
  4. Check the box next to “Assign task” to turn your comment into a task that can be checked off by the user.
  5. Click Comment or Assign.

Share a document using a profile shape  lucidspark-only-tag.png

If a user doesn’t currently have access to a Lucidspark board, you can share it directly with them using their profile shape. To do so, follow these steps:

  1. Select a profile shape.
  2. Click share-icon.png the Invite icon from the context menu that appears.
  3. Determine what sharing permissions you want to grant.
  4. Click Invite.

The user will be added to the document as a collaborator.
