Global data residency for Lucid

Global data residency for Lucid enables accounts to choose where Customer Content (as defined in Lucid’s online terms of service) is stored at rest. Lucid requires that accounts store all data in a single region. With data residency, all users access Lucid from lucid.app regardless of which region their data is stored in at rest.

Plan availability: Enterprise only.

Determine which region your account is on

Users can view which region the account belongs to from Account Settings. Here’s how:

  1. Log into your Lucid account. 
  2. Select your profile image or initials in the upper-right corner.
  3. Click Account Settings.
  4. Select User Settings from the left-hand menu.
  5. Under the “Account settings” header, look for “Account Data Region”.
    • Here it will list “US”, “EU”, or "AUS" as the location where your data is stored at rest.

Application data stored in the data region

Content that is created by a customer is stored in their selected data region. This includes:

  • Documents and folders
  • Images and custom fonts
  • Imported data sources (Google Sheets, Jira, etc.)
  • Customer built extensions

Data migration

New Enterprise accounts can be set up in a specific data residency region by contacting our sales team. Customer Content will be stored in that region upon account creation.

For existing Enterprise customers who wish to change their data region, please contact sales. Existing Customer Content will be migrated to the new data region.

Note: In order to migrate to a different data region, domain control is required.

Integration availability and setup

The lucid.app domain makes all Lucid’s integrations and the developer platform available in every data region.

All Lucid supported integrations are available on every data residency region under one marketplace listing each. Check out the Integrations Marketplace article for instructions on accessing the marketplace from within your Lucid account or search for a specific integration in the help center for setup instructions.

Note: Extensions developed and offered by third parties may not be available in all data residency regions.

Cross-collaboration between data regions

Cross-region collaboration refers to when users are collaborating on a document and one or more of those collaborators’ accounts are in a different region than that of the document (US to Euro or Aus to US, etc.). With this functionality, users can collaborate with Lucid users in any region.

With cross-region collaboration, you can:

  • View and edit documents: Collaborators from other regions can view and edit documents, depending on the share permissions. 
    • Create a shareable link and send it directly to collaborations (via email, Slack, etc.), as collaborators can’t access documents outside their region from the Lucid docs list. 
  • Add comments: Collaborators from other regions can add comments in documents outside their region that are shared with them. 
    • Users can’t @mention collaborators outside of their region.
  • Collaborator cursors and colors: See other collaborators on a document, where they are working in real time, and what they’ve added to a document with collaborator tools.
  • Add Images/GIFs/Emojis: Collaborators across regions can import and search for images and GIFs in Lucid documents. Users can also add emoji reactions to objects in Lucidspark.
  • Private Mode: Users for any region can all brainstorm with private mode in a Lucidspark board.
  • Share: A document can be shared with users in any data region via shareable link. 

Unsupported features include:

  • Custom shape libraries: Collaborators from other regions can’t access custom shape libraries on documents.
  • @mention in comments: Collaborators can’t @mention collaborators in other regions.
  • Creating Breakout Boards: Users outside of the document’s region can participate in Breakout Boards, but they can’t create new Breakout Boards.
  • Brand fonts: Brand fonts uploaded to an account by an admin aren’t viewable outside the document’s region, but rather are replaced by default fonts.
    • PDF export: If a brand font is used in a document, users in other regions cannot export the document.
  • Docs list visibility: Documents outside of a user’s region are not visible from the Lucid docs list.
    • However, cross-region users can access these documents through external shares (bookmarks, email, Slack, etc).
  • Search: Users are only able to search documents for their account and region.
  • Team hubs: Only users from the same account and region can be added to a team hub.

FAQ

What is the default data residency region?
Lucid’s US data residency region is our default region. Data residency options are available only to Enterprise accounts. See the Upgrade your Lucid account article for instructions to upgrade.

Does data residency impact anything besides storage?
No. Data residency for Lucid does not change any aspects of Lucid’s operations other than the data at rest storage location.

Did this replace the legacy EU Data Center?
Yes. End of life for the legacy EU Data Center was November 1, 2024. Lucid now offers in it's place the more robust data residency functionality covered in this article.
