Set up instructions for admins

Add Lucidchart, Lucidspark, or Lucidscale app to your site

Some screenshots found in the steps below are specific to the Lucidchart add-on. If you are adding the Lucidspark or Lucidscale app in SharePoint, it will look a little different but the instructions are the same.

Follow the instructions below to set up the Lucidchart, Lucidspark, or Lucidscale add-on for your SharePoint account:

1. Log in to Your SharePoint account.
2. Navigate to the SharePoint admin center.
3. Select More Features.
4. Under “Apps” click Open.
5. Click SharePoint Store.
6. Search for Lucidchart, Lucidspark, or Lucidscale.
7. Locate the “Lucidchart for SharePoint”, “Lucidspark for SharePoint”, or “Lucidscale for SharePoint” add-in.
8. Click Add to Apps site.
9. In the pop-up that appears, under “App Availability” select Enable this app and add it to all sites.
   
10. Click Add.
    
11. Navigate back to the SharePoint admin center.
    
12. Select Advanced.
13. Click API access.
14. Under “Pending requests” on the API access page, approve access for both the Lucid app AAD and Microsoft Graph.
    
15. In the Approve Access popup, click Approve. 
    

Enable auto-update

As an admin, you can determine whether or not the diagram auto-updates. If you opt to allow edit or comment only access (as covered in the next section) for Lucidchart documents or Lucidspark boards embedded in SharePoint, this is automatically enabled. For Lucidscale or view only Lucidchart or Lucidspark embedded documents, you can opt to enable or disable auto-update by following these steps:

1. Select your Lucid Embed (Webpart).
2. Select the pencil icon.
3. Toggle "Auto-Update" in the right panel.

Embed a Lucid document

Some screenshots found in the steps below are specific to the Lucidchart add-on. If you are adding the Lucidspark or Lucidscale app in SharePoint, it will look a little different but the instructions are the same.

To embed a Lucid diagram on a SharePoint page, follow these steps:

1. Select Edit at the top-right of your page.
2. On the canvas, select the circled + icon to add a new web part.
   
3. Search for and select the Lucid app of your choice.
   
4. Log into your Lucid account.
5. From the Lucid documents list, click on the thumbnail of the diagram you'd like to insert.
   • If the document you are embedding is in a repository, you need to open that repository before moving to the next step. Click Repositories from the navigation on the left side, then select the specific repository and document.
   • At this point, for a Lucidchart document or Lucidspark document you can select the level of access users will have in SharePoint:
     • View only: Users can only view the embedded Lucid document.
     • Comment only: Users can view and comment on the embedded Lucid document.
     • Edit: Users can edit the embedded Lucid document. 
6. Click Select or Insert.
7. Click Publish in the top right corner or Save as Draft in the top left corner of your SharePoint page to update the page with the inserted diagram.

The document will then display and be published on your SharePoint page. 

Rich versus simple viewer

By default, your embedded diagram will be set as a rich viewer that is interactive. This is required for comment or edit access to be granted from SharePoint for embedded Lucidchart documents and Lucidspark boards.

To switch to a simple viewer that is just an image of your diagram, follow these steps:

1. Select your Lucid Embed (Webpart).
2. Select the pencil icon.
3. Click the circle next to “Simple” in the right panel.

FAQ

Why won't my embedded document load properly?
In order for Lucid's integration with SharePoint to work, third-party cookies must be enabled for your browser. Enable third-party cookies, then refresh the page.

Why am I getting an error message when saving my SharePoint page after trying to embed a Lucid diagram?
If you create a Lucid web part, but don’t select a diagram to embed before saving your SharePoint page, you will be shown an error message. This message will prompt you to go back to edit mode in order to select a diagram for embed.

Will the upcoming retirement of the SharePoint add-in extensibility model affect the functionality of the integration with Lucid?
No. Lucid uses SharePoint Framework (SPFx), which will be the primary add-in model for Sharepoint moving forward. Users will not lose functionality.

What admin permissions are needed to install or update Lucid SharePoint apps?
Installing or updating the Lucid apps for SharePoint requires the involvement of SharePoint, Azure, and Lucid admin. Each of these admins' respective actions are outlined below:

  • Add the app from the SharePoint marketplace
  • Delete the existing app from the Manage Apps page
  • Manage SharePoint apps

  • Approve scopes & app permissions via Azure admin center
  • Delete existing app registration for outdated version applications
