Refresh or replace data for an org chart

If you imported data to create your org chart, you can refresh or replace the dataset to make updates when changes happen to your organization. 

Plan availability: Enterprise only.
  • Available on FedRAMP accounts.
    • If you are a FedRAMP user, you can import from Excel or CSV. However, importing from Google Sheets and BambooHR is not available.

Automate org chart data

To automate an org chart’s data, follow these steps:

  1. Hover your cursor over the org chart and select the dotted outline.
  2. In the org chart Context panel to the right, select the Data tab.
  3. Click the Manage Data dropdown.
  4. Select from the following options. See the sections below for details on each option.
    • Refresh Dataset
    • Replace Dataset
    • Overlay New Dataset
    • Export as CSV

Refresh a dataset

Refreshing a dataset automatically applies changes from a linked Google Sheet or Microsoft 365 to the Lucidchart org chart. This option does not appear in the Context panel if you imported data with a static file such as CSV or Excel (XLSX) rather than a connected data source like Google Sheets or Microsoft 365.

Note: If you have enabled two-way sync with Microsoft 365 Excel, changes made in Excel will be automatically reflected in your org chart and manual changes you make in Lucidchart will be reflected in your original Excel workbook. Replace a dataset

Replacing a dataset removes the previous dataset and replaces it with a different one.

If you have made manual changes to a Lucidchart org chart that are not reflected on the data source, you will need to choose to:

  • Keep your changes to update the org chart to reflect the changes made to the data source, but will not discard any edits made directly on Lucidchart.
  • Revert your changes to update the org chart to reflect the data source and erase any manual changes made to the org chart in Lucidchart.

Overlay a new dataset

Overlaying a new dataset consolidates employee information from multiple datasets into one org chart. Follow the prompts to import your new dataset and select the unique identifier by which you want to merge into an existing org chart. With this feature, you can add completely new or updated information on people, members, or employees already on the existing org chart. To add entirely new people, members, or employees to an org chart, update the linked data source and refresh the dataset in Lucidchart.

Note: All datasets must have the same unique identifiers (such as Employee ID or Name).

Once imported, you can visualize both datasets directly on an org chart. Here’s how:

  1. Click any shape in the org chart to open the org chart Context panel.
  2. Click the Layout tab.
  3. Select the “Employee Fields” dropdown.
  4. Toggle on and off the new pieces of data that are connected to a recent import.

Export as CSV

Selecting Export as CSV generates a CSV file of your org chart as it exists in Lucidchart at that moment and downloads it to your device.
