Process Accelerator overview

Lucid’s Process Accelerator increases governance and standardization in how organizations store, document, and publish documents. Use it to create a single source of truth to drive compliance and consistency by keeping official documentation in accessible and searchable repositories. You can also create reusable assets and implement an approval workflow before documents can be published or updated.

Contact sales to purchase the Process Accelerator for your Enterprise account. This is also available for purchase for accounts on the FedRAMP environment.

Access the accelerator

To access the Process Accelerator, it must first be enabled on your Enterprise account. If you haven’t yet purchased the accelerator, contact sales.

To access the Process Accelerator after it is enabled:

  1. Log in to Lucid.
  2. Open the workspace dropdown from the left side of the Lucid Home Page.

  3. Select Process.

Assign and edit managers and owners

The Process Accelerator includes specific roles to manage documentation and workflows:

  • Process Accelerator manager: A user who configures the Process Accelerator and has the ability to create repositories.
  • Repository owner: A user with full control over a specific repository. This includes managing repository settings, designating other repository owners, and overseeing approvals.
  • Folder owner: A user who manages and approves documents in a specific folder or subfolder in a repository. They are subject-matter experts over the content included in their assigned folder.
  • Asset owner: A user who created an asset or document within a repository. They are responsible for publishing the asset to the repository once it's been approved and maintaining changes to the asset.

These roles can be assigned by Lucid admins from the admin panel, or by Lucid admins and current Process Accelerator managers from the Process Accelerator home page. For step-by-step instructions, check out our Get started with Lucid Accelerators article.

Note: While multiple users can be assigned as repository owners and folder owners, it is recommended to limit the number of users assigned to each role to simplify the approval process.

FAQ: Can a limited access (unlicensed) user be a Process Accelerator manager, repository owner, folder owner, or asset owner?  

An unlicensed user can be assigned as a Process Accelerator manager, repository owner, folder owner, or asset owner, but they are unable to suggest edits or add content to the repository. For full functionality, assign these roles to a licensed user.

Process Accelerator APIs

The Process Accelerator APIs are available to accounts that have access to the Process Accelerator. Using these APIs, users can leverage endpoints to replicate the folder organization of third-party tools into Process Accelerator repositories. Additionally, users can programmatically assign users to repositories and designate roles. To learn more and access this list of endpoints, check out our Process Accelerator API documentation.

Repositories

Repositories are a central place to store and access approved assets and documents. They are designed to be easily accessible and searchable for all users. Process Accelerator managers create repositories and assign repository owners. Within a repository, assigned repository owners can create new documents or migrate existing Lucid documents or content from other tools via BPMN import. Approval workflow

Before a document can be published to or updated in a repository, it must go through an approval workflow. Updates are made in draft form, ensuring the published document isn't impacted before approval. End users who are not repository or asset owners can suggest edits, which creates a draft they can edit and submit for approval.

Key aspects of the approval workflow include the ability to:

  • Request approval to publish a new document or updated document to a repository.
  • Edit published documents as drafts and then submit them for re-approval.
  • Receive notifications via email, Slack, and MS Teams for both requesters and approvers to streamline workflows.
  • View pending approvals within repositories.
  • Facilitate quick feedback and drive accountability across stakeholders.

Asset library

The asset library allows for the reuse of published documents within other documents. This helps to speed up document creation and optimization. Any time a document asset is updated, those changes are reflected everywhere the asset is used. Users can see where document assets are being used, and to see what assets are contained within a document.
