The Process Accelerator's approval flow allows any licensed user on your Lucid account to suggest edits to repository assets by creating a draft and submitting it to repository owners for approval. During the draft’s approval flow, the published asset remains accessible to the entire organization. Once the draft is approved, the updated asset can be published, replacing the old version. For details on each part of the approval flow, read this article.
This feature is available for accounts with the Process Accelerator. Contact sales to purchase the Process Accelerator for your Enterprise account. This is also available for purchase for accounts on the FedRAMP environment.
Access assets in a repository
To access published assets in a repository, any licensed user can follow these steps from the Lucid Home Page:
- Click Repositories from the navigation menu on the left side of the page.
- Select a repository.
Document assets are listed under “Documents”. Object assets can be accessed by clicking Object assets in the top-left corner of the repository.
The steps to request edits to an asset differ between document assets and object assets. Check out the sections below for details on each.
Document assets
Suggest edits to a published document
Any licensed user on your Lucid account can suggest edits to a document. To do so, follow these steps from within a repository:
- Open the document you want to suggest edits for.
- Click Suggest edits from the top-right corner of the document.
- Click Create draft to create a copy in your own documents to work from.
- Make edits to the document.
- Click Request approval from the top-right corner when you are done making edits.
- If you are a Process Accelerator manager, folder owner, or asset owner for this document, you can immediately publish the edits without requesting approval by clicking Publish in the top-right corner.
- In the panel that appears, type a summary of the changes you made for the approver to review.
- Click Request approval.
Approvers are notified and a banner appears at the top of the canvas indicating that the changes you made are “in review”.
Note: After requesting approval, you can still make edits by clicking Edit draft in the top-right corner. This will retract your request, and you'll need to click Request approval again after you're done editing.
New version is published while making edits
If a newer version of the document you are suggesting edits for is published while you are in "Edit draft" mode, a warning message appears giving you three options:
- Apply changes from your draft to the new version: If possible, Lucid will combine both sets of changes in your draft. Some areas may require you to review and edit conflicting changes.
- Replace draft with the new version: Your draft will be updated to the new version. Any edits you've made will be removed.
- Delete your draft: Your draft will be deleted, and you'll be redirected to the Lucid Home Page.
Check approval status
To check the status of requests you’ve made, follow these steps from the Lucid Home Page:
- Select Repositories from the navigation menu on the left side of the Lucid Home Page.
- Click Approval requests underneath "Repositories" in the navigation menu.
- Select the My requests tab at the top of the page.

Resubmit a request
If your request was declined by an approver, you can resubmit it after making the necessary updates by following these steps from inside the document editor:
- Click Edit draft from the top-right of the canvas.
- Select Edit draft.
- Make any necessary edits to the document.
- Click Request approval from the top-right corner.
- In the panel that appears, type a summary of the updates you’ve made since the last request.
- Click Request approval.
Approvers are notified and a banner appears at the top of the canvas indicating that the changes you made are in review.
Publish an update
After your request has been approved, you can publish the updated document to the repository by clicking Publish from the top-right corner of the document. The draft you’ve been working from will be removed from your documents list and will replace the previous version in the repository as the official, approved version.
Object assets
Suggest edits to an object asset
Any licensed user on your Lucid account can suggest edits to an object asset. To do so, follow these steps from a repository:
- Select Object assets from the top of the navigation menu on the left side of the repository.
- Click the three-dot menu to the right of the asset you want to edit.
- Select Edit asset.
- Make edits to the object asset.
- Add a message to the approver explaining what changes you made.
- Select Request approval from the bottom of the panel.
- If you are the repository owner, you can click Publish directly to publish the revised object asset immediately.
Check approval status
To check the status of requests you’ve made, follow these steps from the Lucid Home Page:
- Select Repositories from the navigation menu on the left side of the Lucid Home Page.
- Click Approval requests underneath "Repositories" in the navigation menu.
- Select the My requests tab at the top of the page.

Resubmit a request
If your request was denied by an approver, you can resubmit it after making the necessary updates by following these steps:
- Select Repositories from the navigation menu on the left side of the Lucid Home Page.
- Click Approval requests underneath "Repositories" in the navigation menu.
- Click My requests from the top of the page.
- Select the title of an object asset with a “Denied” status.
- Object assets are indicated by an object icon to the left of the asset title.
- Review the approver’s feedback.
- Click Edit draft.
- Make the necessary changes.
- Click Request approval.
Publish an update
After your request has been approved, you can publish the updated object asset by following these steps:
- Select Repositories from the navigation menu on the left side of the Lucid Home Page.
- Click Approval requests underneath "Repositories" in the navigation menu.
- Click My requests from the top of the page.
- Select the title of an object asset with a “Ready to publish” status.
- Object assets are indicated by an object icon to the left of the asset title.
- Click Publish.
- Type a summary of the changes made.
- Click Publish.
Check the status of your approval requests
To check the status of requests you’ve made, follow these steps from the Lucid Home Page:
- Select Repositories from the navigation menu on the left side of the Lucid Home Page.
- Click Approval requests underneath "Repositories" in the navigation menu.
- Select the My requests tab at the top of the page.
This page shows the status of assets you've submitted.
Note: When a repository has sequential approvals set up, the "Review progress" column displays "# of # stages" to show how many required approvals have been completed. If your repository is set to standard approval, this column will remain blank.
View messages from approver
Select an asset from the "My requests" page to view additional details including messages from the approver.
FAQ
Do all approvers need to approve edits to an asset before I can publish?
It depends on the approval flow type set up for the repository. If the repository is set up with the standard approval flow, only one approver needs to approve the changes before they can be published. If sequential approvals are enabled, all approvers must approve the changes in the designated order. If any approver denies the request, the requester must make revisions, and the approval process will restart from the beginning.
Who has permission to publish edits to an asset?
Process Accelerator managers and repository owners can publish updates to any asset. Folder owners and asset owners can publish edits to any asset they own. Any user can publish edits to an asset that has been approved through the proper approval flow.
