A larger account requires more sophisticated organization. Divide account members into Groups for easier license management and document sharing. Read on to learn more.

Start by determining your group management experience
Lucid has released a new group management experience for Enterprise accounts. While we transition accounts over to the new experience, determine which group management experience your account uses before reading this article. To do so:
- From your Lucid account, select Admin from the menu to the left.
- Select Groups from the left-hand navigation menu.
- If you see “New feature coming soon!”, continue reading this article.

Access group management
To access group management, follow these steps:
- Select Admin.

Click Users in the left-hand menu.
- View “Team & Groups” in the menu to the left.
Get started with Groups
Before organizing your team members into Groups, there are a few important things to know.
- You can only have one "Team" but you can create an unlimited amount of Groups and Subgroups.
- Every account member belongs to a single Primary Group.

An account member can be added to an unlimited number of Groups.
- General Group membership is used to automatically grant access to Team Folders and documents.

The account owner and account admin can create and add users to the account. The account owner, account admin, and group admin (Enterprise only) can add existing users on the account to a group and manage users within a group.
Note: The example below represents the experience for a Team account. If you are on an Enterprise account, you will see “Lucid Suite” as a license type instead of “Lucidchart” and “Lucidspark”, because you have both products under one license.
Set or change primary group
A user’s primary group is set as the Team account by default (in our example, Dunder Mifflin) but can be changed by the account owner or account admin by following these steps:
- Select a user, or multiple users, by checking the box(es) on the far left-hand side of the user’s row.
- Select (Edit) next to “Teams & Groups” in the menu to the right.
- Under “Selected Groups”, click Change Primary Group.
- Select the Group you want to set as Primary.
- Click Confirm.
General group membership
An account member can be added to an unlimited number of Groups. To automatically grant access to all documents included within a team folder, add the account member to that Group.
Continuing with our example, in addition to Jim’s Primary Group being Sales, he’s also been added to the Customer Support Group so he can have access to the documents shared with that Group.
Create and manage Groups
Follow the steps in the sections below to manage Groups.
Create a new Group or Subgroup
The account owner and account admin can add a group or subgroup by following these steps:
- Select Admin.
- Click Users in the left-hand menu.
- Under “Team & Groups” select the pencil icon next to the parent Team or Group.
- Click Create Group or Create Subgroup.
Delete a Group or Subgroup
The account owner and account admin can delete a group by following these steps:
- Select Admin.
- Click Users in the left-hand menu.
- Hover your cursor over the Group or Subgroup and select the pencil icon.

Click Delete Group.
- When deleting a Subgroup, selecting Delete Group will not remove the parent Group it belongs to.
Add a user to a Group
The account owner and account admin can add a user to a group by following these steps:
- From the User List, find and select the team member.
- Select (Edit) next to “Teams & Groups” in the menu to the right.

Under Available Groups, hover your cursor over the Group you want to add the user to and click
the Plus icon.
- Select Confirm.
Group admin can add a user to a group by following these steps:
- Click Add a user to [group name].
- Type in the email address of the user on the account that they wish to add to their group.
- Click Invite to [group name].
For example, in the screenshot below the group admin would click Add to Sales since this name of this example group is "Sales".
Remove a user from a Group
The account owner and account admin can remove a user from a group by following these steps:
- From the User List or Group, find and select the team member.
- Select (Edit) next to “Teams & Groups” in the menu to the right.

Under “Selected Groups”, click
the X icon next to the Group you want to remove.
- Select Confirm.
Delegating user management to a group admin
A group admin on an Enterprise account can take over user management actions such as changing email addresses and assigning licenses for their group; however, the group admin cannot make account-wide changes like an account admin can.
A group admin can manage the following for the users assigned to their Group:
- View a list of users
- Manage licenses
- Add existing users on the account to their group
- Delete users from the Enterprise account
- Transfer documents when delicensing or deleting a user
- Edit user details such as name and email address
- Export User list as a .csv file
Assign the group admin role
- Select Admin.
- Click Users in the left-hand menu.
- Under “Team & Groups” select the pencil icon next to the parent Group.
- Click Manage Group Admins.

Under “Available Users”, hover your cursor over the Admin you’d like to assign the group admin role and click
the Plus icon.

Select Confirm.
- To remove the group admin role, follow the same steps above except at step 5 hover over the admin under “Current group admins”, click
the X icon and confirm your changes.

A group admin is typically most helpful for accounts that manage their user list manually. SCIM, Google provisioning, or other automated provisioning tools are great compliments to group admin as long as some piece is done manually—most often, this is license management.
Because group admin cannot create users (only the account owner and account admin can do this) we recommend provisioning users with limited-access permission to the correct groups. When group admin have visibility into all of the team members in their Group, they can respond quickly when a limited-access user requests a license instead of waiting on IT to provision the user.
There are several methods the account owner and account admin can use to add or provision users to a group:
- Designate groups during SCIM provisioning
- Add groups to a .csv file for bulk CSV upload
- Set each user’s group(s) manually
The account owner and other admin can disable notifications for license requests for users with a group admin. To set licensing notifications, follow these steps:
- Select Admin.
- Click License settings in the left-hand menu.
- From the dropdown, select Notifications.
- Under “For users with a group administrator”, set notification preferences.
- Click Save changes.
