Guest Collaborators in Lucid

Share a Lucidspark board with Guest Collaborators

A logged in user on a Lucidspark account can generate a shareable link with Guest Collaborator editing permissions by following these steps:

1. Open the Lucidspark board you want to share.
2. Click Share in the top-right corner.
3. Select the Link tab.
4. Toggle on “Shareable link”.
5. Click the Users dropdown and select Anyone with the link.
   • Some organizations require a passcode for Guest Collaborator links. Set a passcode under “Document passcode” if required.
6. Select the dropdown directly to the right of the Users dropdown to indicate the level of access. Your options are Edit, Comment, and View.
7. Select Copy link.  
8. Send the link to your guests.

Guest Collaborators can now access the board.

If your admin has prevented the creation of Guest Collaborator links, login will be required for all individuals you share your board with. Shortly after guest access is disabled, changes by Guest Collaborators who are currently on the board will no longer be saved (this may take a few minutes to take effect). Once they refresh the page or attempt to use the link again, they will be asked to log in.

Access a Lucidspark board as a Guest Collaborator

To open the Lucidspark board, open the link that has been shared with. For an introduction to the Lucidspark workspace, take a look at our Welcome to Lucidspark article.

Things to know:

• If the Guest Collaborator feature is enabled, anyone with a copy of the shared link can access and contribute to the board as a Guest Collaborator.
   
• Whether a Guest Collaborator can edit, comment, or view only is determined by the access permissions set for the Guest Collaborator share link.
• Guest Collaborators are only available for documents that both originated from and are currently on Lucidspark. Check out our Universal canvas article for more details.
• Guest Collaborators are not associated with a Lucid account. This means any Lucidspark boards accessed as a Guest Collaborator will always need to be accessed from the shared link. There is no limit to the number of boards a Guest Collaborator can access. 
• There is no limit to the number of Guest Collaborators who can be on a Lucidspark board at the same time. However, having more than 100 total collaborators on a board can impact performance. 

Available features

Guest Collaborator access allows you to enjoy many Lucidspark features without registering for an account. See the table below for more information on what functionality is available to you as a limited-access user, as a Guest Collaborator, as a free user, or as a premium user.

*Only Team and Enterprise premium accounts have access to these features. An Individual premium account has the same abilities as a Free account for these features. 

**Only Enterprise accounts have access to these features. An Individual or Team account has the same abilities as a Free account for these features. 

***Uploaded images have to be tied to a user. Because Guest Collaborators are not logged-in users, any images added by Guest Collaborators will be assigned a creator ID based on the following criteria:

• If the board creator still has an owner role on the board, the board creator's ID will be used for images uploaded by Guest Collaborators. 
• If the board is in a Team Folder, the user ID of the Team Folder member that has been a part of the Team Folder the longest is used for images uploaded by Guest Collaborators.
• If the board is a part of a Team Folder, and there are no users in the Team Folder, but rather only a group, the user ID of the first person in that group will be used for images uploaded by Guest Collaborators.

Register for a Lucid account

Guest Collaborators will be prompted to register for a Lucid account or sign in to an existing one if:

• They attempt to access functionality not included at the Guest Collaborator level.
• They attempt to use a Guest Collaborator shareable link which was disabled by the account that created it.

If a Guest Collaborator does register or sign in, then accesses any documents via the same Guest Collaborator shareable links, they will be added as a collaborator on the board. The board will also appear in the Guest Collaborator’s “Shared with Me” folder in the Documents Page. 

Guest Collaborator names

Guest Collaborators will be randomly assigned a name that will appear alongside their cursor in the board so that other collaborators can identify who is making changes as they happen.

A Guest Collaborator can rename themselves upon entering the board by following these steps:

1. In the popup box that appears under Collaborator Controls, select Edit.
2. Type a new name.
3. Select Confirm.

For Enterprise admins 

As an Enterprise admin, you can control your users’ ability to invite Guest Collaborators to their boards. You can also require a passcode for Guest Collaborator links.

Guest Collaborators must abide by the Lucid Terms of Service when using Lucidspark. Individual users on the account are responsible for the content of the documents they create, including any content contributed by Guest Collaborators. For example, if a Guest Collaborator inputs data into a Lucidspark board that violates the Terms of Service, the Lucidspark user who owns the board is responsible for removing the violating content. Lucidspark does not track which Guest Collaborator made which changes in a Lucidspark board.
