airfocus and the EU Data Act

airfocus is committed to compliance with the EU Data Act. This article explains how the Act impacts our Services (as defined in Lucid’s Terms of Service) and what it means for our EU-based customers.

Read the sections below to learn more about procedures available to our EU customers to export their data from our Services.

EU Data Act overview

The EU Data Act is a regulation designed to foster a competitive data economy and increase user control over data. As a data processing service provider under the Act, we recognize the Act’s purpose to promote interoperability standards between data processing services, and to remove barriers if our EU customers choose to switch providers and port their data to another provider or on-prem solution.

Export your data from airfocus

What data can you export from airfocus?
Your Content (as defined in Lucid’s Terms of Service), which is data, information, images, and other content you include in documents or workspaces created in our Services, is available for download as exportable data.

Exportable data excludes any data or assets subject to Lucid’s or a third party’s proprietary rights, such as Lucid Assets (as defined in Lucid’s Terms of Service).

Export individual workspaces

From Table view, the account owner or a user with access to the work space can download all exportable data from a workspace in PDF, PNG, or CSV formats.

Navigate to the workspace you want to export using the left menu bar.

Open an existing table view or create a new one by clicking "All views", then the "+" button, and then follow the instructions to complete the view.

We recommend that you create a table view with no filters, because if filters are present only the data specified by the filter will be exported.

Click the "Share" button and select the desired data format to export the workspace's content.

Bulk export of account-level documents

EU customers with account-level permissions can contact airfocus support at support@airfocus.com to assist with bulk export into CSV format.

International access to and transfer of your data

The EU Data Act requires providers to implement measures to prevent unlawful international government access to non-personal data stored in the EU.

We have adopted a multi-layered approach to ensure the security and legal protection of your Content.

airfocus utilizes ICT infrastructure to store Content at rest in US or EU data regions. This infrastructure is subject to the jurisdiction of the applicable region’s country. Customers can view which region their account belongs to in the admin panel under “Data Region.”

We maintain administrative, physical, technical, and organizational measures to protect the security, confidentiality, and integrity of your Content in accordance with our Information Security Program. All government data access requests, including those from non-EU jurisdictions, are reviewed by our Legal team. We will comply with applicable requirements to notify affected customers (as permitted by law), will only comply with legally binding requests, and will seek to challenge requests we deem to be in conflict with applicable law, including EU law or the national law of a Member State.

FAQ

Does the EU Data Act entitle me to erase my data in lieu of export?
Yes. If you want to permanently erase your data under the EU Data Act, please contact us at support@airfocus.com to cancel your account and request deletion of your Content.

Is export available in other data formats?
This article outlines how to export your data in a structured, commonly used, and machine readable format to enable the switching process. airfocus will comply with future guidance issued under the Act for open interoperability specifications or harmonized standards. Additional export formats may be available depending on the type of view you select. For more information, check out this article.

Will airfocus charge me for data export assistance?
Depending on the volume of exportable data and complexity of your account, airfocus may charge costs directly incurred by exporting your data for the switching process. If costs will be incurred, airfocus will disclose those in advance in an Order for Professional Services pursuant to Lucid’s Terms of Service, or as set forth in your applicable service agreement. We will further inform you if your request will involve highly complex or costly switching, or where it would be impossible to export data without significant interference in the data, digital assets, or service architecture.

What technical limitations or restrictions apply to my exported Content?
Exportable data excludes certain relational data, such as dependency relationships, connecting feedback, history, and comments on items. Export to CSV will not show a visual representation of the data. In order to export all items, parent and child workspaces have to be exported separately.
