With Lucid, you can assign statuses and add classifications to your documents and boards. This feature is great for organizing workflows and fostering easy communication. Read on to learn how to assign and manage statuses and classifications.
If you are an Enterprise account admin, you can configure custom status and classification values and colors to streamline workflow management. To learn more about this Enterprise only feature, refer to our Lucid admin panel: Compliance settings article.

Manage document status
You can assign the following statuses to documents on your account:
- Draft
- Complete
- Pending review
- Approved
- Rejected
- Any other custom value set up by your account admin
From the Documents Page
List view
When you are in the list view of the Documents Page, a “Status” column will display by default, showing the status of any document or board that has one assigned. If a document or board has not been assigned a status, its “Status” field will show blank.
To edit a document’s status from list view:
- Hover over a row under the "Status" column.
- Click the arrow for the dropdown menu.
- Select a status.
Tile view
In tile view of the Documents Page, a banner will display at the top of any document with an assigned status or classification.
To edit a document’s status from tile view:
- Hover over a thumbnail.
- Click the three-dot more menu from the bottom-right corner.
- Hover your cursor over "File information".
- Hover your cursor over “Assign status”.
- Select a status from the menu.
You can also click an existing status to choose a new one.
Note: If a document is assigned a classification, the classification will appear in the banner at the top of the document's thumbnail instead of the status.
From the editor (Lucidchart only)
When you are viewing a document in the editor, its assigned status will display next to its name.
To edit the status from inside the Lucidchart editor:
- Open
the More menu from the top-left of the canvas.
- Hover your cursor over “File”.
- Hover over “Manage status” or “Assign status”.
- Select a status.
You can also change the status by clicking the existing status and selecting a new one from the dropdown.
Note: If a document is assigned a classification, the classification will appear next to the document’s title in the editor instead of the status.
Content locking
With content locking, you can be confident that accidental changes won’t be made to a document in its finished state. Any user with edit permissions on a document can change the status to “Locked Status”. Once a document has been locked, the document cannot be edited until the status is changed.
When a document or board is locked, it cannot be edited. However, when a document or board is locked it is still possible to:
- Add comments to the document or board
- Share the document or board
- Export the document or board
- Copy the document or board
- Present the document
- View shape data (Lucidchart)
Note: In order to use content locking, you must be on an Enterprise account, and an admin on your account must have created custom statuses that allow locking.
Set document classification
Setting document classification is available to Enterprise accounts only.
You can assign the following classifications to documents on your account:
- Private
- Confidential
- Internal
- Public
- Any other custom value set up by the admins on your account
Note: If your account has the Enterprise Shield add-on, admins on your account can assign classification controls to custom account classifications. These controls can restrict further external sharing of documents when an associated classification is applied to a document. From the Documents Page
List view
To edit a document’s classification from list view of the Documents Page:
- Hover over a row under the “Classification” column.
- Click the arrow for the dropdown menu.
- Select a classification.
Note: If you don’t see the “Classification” column while in list view, select the Manage Columns icon from the top-right corner of the page and ensure “Classification” is checked.
Tile view
In tile view of the Documents Page, a banner will display at the top of any document with an assigned classification.
To edit a document’s classification from tile view of the Documents Page:
- Hover over a thumbnail.
- Click the three-dot more menu.
- Hover your cursor over "File information".
- Hover over:
- “Assign classification” if the document does not already have a classification.
- “Edit classification” if you are changing an existing classification.
- Select a classification from the menu.
You can also click an existing classification to choose a new one.
From the editor
When you are viewing a document in the editor, its assigned classification will display next to its title.
To edit the classification from inside a Lucid document:
- Open
the More menu from the top-left of the canvas.
- In Lucidchart, after opening the More menu, hover your cursor over “File”.
- Hover over “Manage classification” or “Assign classification”.
- Select a classification.
You can also change the classification by clicking the existing classification and selecting a new one from the dropdown.
FAQ
Where can I see a document’s classification?
If a document has an assigned classification, it will appear in the editor next to the document’s title.
Why don’t I see my document’s status in the editor?
If a document is assigned both a classification and a status, only the classification will appear next to the document’s title in the editor. You can see a document’s status from the Document’s Page.
Why does my newly created document have an assigned status or classification that I didn’t add?
If you are on an Enterprise account your admin has the ability to set a default status or default classification that applies to all newly created documents. For more information, please see the Lucid admin panel: Compliance settings article.
