Create and organize corporate templates

When managing a large account, template governance can be difficult. Corporate templates makes it easier for account admins and template admins to manage how templates are shared across an organization and streamline collaboration. It centralizes access to approved templates and prevents unapproved edits to official templates.

Plan availability: Enterprise only.

Add and categorize corporate templates

To create corporate templates, you must:

  • Be an account owner, account admin, or template admin.
  • Have edit permission to the document you want to convert into a corporate template.

Convert a document to a corporate template

To convert a document, board, or template into a corporate template, follow these steps:

  1. Select Documents.
  2. Expand the “My Documents” folder.
  3. On a document or board, select the three-dot menu.

  4. From the menu, hover your cursor over "Organize".
  5. Select Convert to corporate template.
  6. In the pop-up window, you can do the following:
    • Assign categories and subcategories that have been customized for your account.
    • Enforce locking restrictions.
    • Add a description.
    • Share the corporate template.

  7. Click Save.

Note: If you have the account-wide document sharing setting enabled in the Lucid admin panel: Security settings, your account will auto-populate in the sharing search bar, as shown in the screenshot above. This means that they will be shared with your entire Enterprise team by default.

Create categories and subcategories

You can create custom categories and subcategories to organize your corporate templates in a way that meets your organization's unique needs and make it easier for users to locate corporate templates. To create them, follow these steps:

  1. On the Lucid Home Page, select Templates from the bottom-left of the navigation menu.
  2. Select Corporate from the bottom of the list of template categories on the left-hand side.
  3. Click the Category dropdown at the top of the menu.
  4. Click New category +.
    • To create a category, click New sub-category + from within the Create category menu.
  5. Name your new category or subcategory.
  6. Click Save changes.

To edit existing categories click  pencil-icon-in-template-gallery-to-edit.png the pencil icon. After making your edits, click Save changes to update your categories.

Access corporate templates

All users on an Enterprise account can create a new document from a corporate template.

Create a new document from a corporate template

To create a new document from a single corporate template, follow these steps:

  1. On the Lucid Home Page, select Templates from the bottom-left of the navigation menu.
  2. Select the product you would like to view the corporate templates for at the top of the page.
  3. Click Corporate from the menu to the left.
  4. Use the check boxes next to each subcategory to filter for specific corporate templates.
  5. Select a template from the filtered list.
  6. Click Use Template.

A new document will be created from the corporate template. The location of your new document will be stated at the top of the template gallery. 

Create new documents from multiple corporate templates

To create new documents from multiple templates at once, follow these steps:

  1. On the Lucid Home Page, select Templates from the bottom-left of the navigation menu.
  2. Click the product you would like to view the corporate templates for at the top of the page.
  3. Select Corporate from the menu to the left.
  4. Click Select Multiple on the top-right of the Corporate Templates section.
  5. Use the check boxes next to each subcategory to filter for specific corporate templates.
  6. Check the box in the top-right corner of the templates to select them.
  7. Click Use selected templates.

A new document will be created from each corporate template you selected. The location of your new document will be stated at the top of the template gallery.  

Manage corporate templates

As an account admin or template admin, you can manage the existing corporate templates. This functionality includes editing or deleting corporate templates. It also includes the ability to unpublish corporate templates so they will be hidden from end users while you or other admins make updates.

To manage the corporate templates, follow these steps:

  1. Select Templates.
  2. Click Corporate.
  3. On a corporate template, select the three-dot menu.
  4. Select one of the options from the dropdown menu.

FAQ

How can an admin assign the template admin role?
The account owner or account admin can assign the template admin role from the Users page. This process is outlined in the Assign admin roles section of the administrator roles article.

What happens when I delete a corporate template?
When a corporate template is deleted, it is moved to your trash and is no longer accessible to users on your account.

What happens when I unpublish a corporate template?
Users on your Enterprise account will not be able to see or create documents from this template until you publish it again. You and other admins in your organization can still view and edit this unpublished template within the Corporate Templates tab. 

How can the Select Multiple option help me with my project?
You may want to kick off a new project and know that you will need a certain set of standard documents. Use this functionality to quickly create documents from all of the corporate templates you will need for your project, rather than creating them one by one. If these templates are linked to each other, creating them simultaneously will ensure that the new documents will maintain these relative links.

What happens if I delete a category or subcategory?
If a category or subcategory is deleted, any corporate templates that were assigned to it will no longer be assigned to the category or subcategory. Deletion cannot be undone.

What happens if I edit a category or subcategory?
If you rename a category or subcategory, any corporate templates that were assigned to it will remain assigned to the new category or subcategory name.

What happens to existing corporate templates if I enable account-wide sharing in the admin panel?
When account-wide document sharing is enabled, as explained in our Lucid admin panel: Security settings article, all corporate templates that are created by users on your account will be shared with your entire Enterprise team by default.

Any existing corporate templates created prior to this setting being enabled will be unaffected. This means that in order to share a corporate template that was created while that setting was disabled, you would need to do so manually. Follow the steps above to manage corporate templates, select Edit Corporate Template Details from the menu, search your team name in the sharing search bar (for example, in the screenshot below you would search "Lucid Software" if that were your team name), and click Save.
