Centralize items from multiple workspaces with portfolios in airfocus

Portfolios centralize live items from multiple source workspaces into a single, unified view. Instead of relying on static rollups or manual status reports, leadership and stakeholders can now access a real-time command center that pulls data directly from across the product ecosystem.

By applying custom filters to these cross-workspace data sets, you gain immediate visibility into progress across entire product lines, ensuring every decision is backed by current, actionable information.

This functionality is available to all customers with an airfocus Enterprise plan subscription.

Portfolio basics

Portfolios show items from one or more connected source workspaces. They behave similarly to regular airfocus workspaces—views, filters, groups, sorting, and sharing all work the same. However, unlike a standard workspace, a portfolio doesn't own its own items. Instead, it displays a collection of items pulled from other workspaces. Benefits of portfolios include:

  • Centralized visibility: See initiatives, epics, or tasks from across your entire organization in one place.
  • Defined perspective: Fully customize what you see in a portfolio using filters and fields.
    • Filters: Set up a global filter for the entire portfolio or set up filters for each individual view within the portfolio to narrow down which items are included.
    • Fields: Portfolios can display system fields, team fields, and app fields. During set up, you can customize which fields are visible. If a team field or app field exists in one connected source workspace, it’s available to the entire portfolio.
  • Real-time synchronization: Because portfolios reflect source workspaces, any update made in the original workspace is reflected in the portfolio instantly.
  • Simplified management: While you maintain apps and integrations in their source workspaces, the portfolio offers a live, two-way connection. You can edit and update items directly within the portfolio, with all changes syncing instantly back to the source.

Create and set up a portfolio

  1. In the left navigation of any airfocus page, click the plus sign icon to the right of “Portfolios”.
  2. Type a name for your portfolio, and set your team permissions.
  3. Click Next.
  4. Under “Workspaces”, click + Add workspace.
  5. Select one or more workspaces to be shown in the portfolio.
  6. Click + Add selected workspaces.
  7. Confirm your workspace selection, then click Next.
  8. Optionally, click + Add filter to refine which items appear in the portfolio using a global filter.
    • Global filters apply to all items across the portfolio.
  9. Click Done.

Your new portfolio will appear in the left navigation panel under “Portfolios.”

Adjust portfolio settings

To adjust various portfolio settings, follow these steps:

  1. From the portfolio, click the three-dot menu to the right of the portfolio name.
  2. Click Settings.

From here you can:

  • Rename the portfolio
  • Add or remove source workspaces
  • Apply or remove global filters
  • Adjust permissions

Delete a portfolio

To delete a portfolio, follow these steps:

  1. From the portfolio, click the three-dot menu to the right of the portfolio name.
  2. Click Delete portfolio.
  3. Review the information, and click the checkbox to agree that you want to delete the portfolio.
  4. Click Delete portfolio.

Completing this action cannot be undone, and the portfolio will no longer be available. Deleting a portfolio doesn't delete the items shown within.
