The airfocus Voting app makes it easy for you to gauge an item's demand by collecting votes and reactions from your team members and external stakeholders. Choose from a variety of voting methods that will contribute towards a voting score. This score can in turn be used as criteria for prioritization and help you make informed decisions.
The app is available on Professional and Enterprise airfocus plans.

Choose a voting method that suits your needs
You can choose between different voting methods, such as upvotes, upvotes and downvotes, or reactions. Depending on the method, votes will affect the voting score. That score can then be used in the Priority Ratings app as a criteria.
Ensure authenticity of your votes from external sources
Non-airfocus-users must verify their email addresses to vote. Once verified, they can conveniently continue voting on other items. Note: The validated information is stored in cookie data and will expire after 30 days.
Avoid bias from your audience
To prevent bias, we don’t show votes on Portal or share links by default. You can, however, opt to display votes to the public nevertheless.
How to set up the voting app
Activate app
You can activate the Voting app in the "Extensions" section of your workspace, just like any other airfocus app.
Choose a voting method
There are three Voting methods. Users are allowed to select one option:
- Upvote: With this enabled, users can simply add their vote which contributes a ‘+1’ to the voting score.
- Upvote or downvote: Users can choose to also downvote, which adds a ‘-1’ weight to the voting score.
- Reactions: Users can choose between a happy, neutral or sad reaction which have weights of ‘+1’, ‘0’ or ‘-1’ respectively on the score.
Your choice will affect the Voting score, a score introduced by the app which is displayed across all views. It is a sum of all the values.
Choose your voting audience
By default, installing the voting app in your workspace automatically enables it on your Portal, if the workspace has been used as a page on your Portal.
In this step, you can choose an audience between your workspace members or share link viewers according to your need. Both options or one of them must be selected in order to install the app.
Public visibility of your voting results
To prevent bias, we don’t show votes on Portal or share links by default. However, you can change this by enabling this option in the Voting app settings.
Enabling this option displays your voting score results on your share links and the number of voters in total (and for each option) on your Portal.
How to use the voting app
Placing a vote on your items
You can place a vote on an item from the Table view by clicking on the "My vote" column or directly from the item panel.
Accessing your vote details on items
The details of your voting app card allows all users with access to the workspace (admins, editors, and contributors) or share link viewers (if enabled) with the following information:
- Total votes.
- Voting score.
- Breakdown of votes by options (upvote, downvote or reactions).
- List of voters and their information (email, link to Portal or share link, time stamp).
You can also filter by your voting option by clicking on it, and easily email your voters directly with a click of a button. Additionally, administrators and editors can delete unwanted or unnecessary votes.
Filtering and displaying votes on views
You can filter your views (for eg., table, timeline or board view) to show items that contain vote(s). Select 'Voting score' from the drop-down under Filters and select 'Is defined' to filter for items containing votes, and 'Is undefined' to filter for items that don't contain any votes.
Additionally, choose to display your voting score to easily identify voted items and their scores across views by selecting it on your display options. You can also enable the 'My vote' column exclusive on the table view, which allows you to place a vote directly from the view without accessing your item.
Using voting score as criteria in field settings
The Voting score added as a system field by the voting app can be used as a criteria in the Priority Ratings app. This allows you to evaluate all factors for effective decision making and inclusive prioritization.
To do this, simply set the maximum value of your Voting score from your field settings before adding it as a criteria to the Priority Ratings app. Your items will then be scored considering the Voting score in its formula accordingly.
Voting on your portal
Allow your external stakeholders to provide you with valuable insights into your ideas by enabling them to cast votes on your Portal. Installing the Voting app in a workspace used as a page on your Portal will automatically activate this feature. Alternatively, it can also be enabled in the Portal page settings by enabling the following:
By enabling this feature, you can now collect votes from your Portal using your chosen voting method. To make sure the votes are verified, we require a one-time confirmation of your audiences' emails before they can submit their votes.
Ensuring the authenticity of votes from external stakeholders
To ensure the authenticity of votes from a Portal or share links and to be able to get back to your external stakeholders, non-airfocus-users must verify their email addresses to vote. Once verified, they can conveniently continue voting on other items.
Steps
External voters on share links or Portal are required to provide their email address in order to have their votes counted. Once voted, a prompt appears requesting the user’s email address, which upon submission sends an activation link to the provided email address.
If the link is confirmed by the user on their email, they are redirected to the share link or Portal and are essentially ‘logged in’. That is, the confirmation of their mail is stored in their local storage and the user can continue placing votes without having to verify/provide their email every time.
That's it! You can now have votes collected from your team and external stakeholders.
