Import items from a CSV or spreadsheet into airfocus

Benefits of our CSV import

One property is required (the item name) and needs to be included in the CSV import. The description can be added additionally.

Benefits:

• Bulk import: Import as many items as you'd like with one click.
• Manual mapping: Use the mapping configurations to define for each column to be imported the airfocus field it should get mapped to.
• Import of prioritization criteria ratings: Use the mapping options to import your prioritization ratings into airfocus.
• Live preview: Once you mapped your CSV column to an airfocus field, scroll down to the live preview to check if your data is imported correctly.
• Map custom date formats: Select one of the various choices available through our import feature to customize your date formats.

Instructions on how to use airfocus' CSV import

Prepare your file

Download our CSV template and adjust it to your needs.

If the app you use to open the CSV asks, use the following settings:

• Separator: Comma
• Text qualifier: "
• Encoding: Unicode (UTF-8)

Note the following when preparing your file:

• The CSV's first row is interpreted as the column's headers and must not contain actual data. 
• A column of your CSV file has to be mapped to the airfocus field item title for the import to work.
• Lanes, groups, or labels from your CSV get created in your workspace if they don't already exist.
• Date fields need to be in text format, not date format.
• Time period fields are not supported in airfocus.

Upload your file

To import items from a CSV into an airfocus workspace, follow these steps:

1. Click Extensions from the top-right corner of your workspace.
2. Select Manage integrations.
3. Click Import file from the "CSV import" tile.
4. Select and upload your CSV file. 
   • The file must be in .csv format and use UTF-8 encoding.
5. Choose delimiters (usually automatically detected), select a date format, and map the columns of your CSV to the airfocus fields of your choice.
   • If you have multiple date columns in your CSV, be sure to map each one separately.
     
6. Check the live preview to verify everything was mapped correctly.
7. Click Import items. 

You will be redirected to the Item View once the import has finished.

Note: If you add new options to one of your custom fields (unknown options), they'll be automatically added as a new option (for example, a label). This means you only need to add the fields you want to map your spreadsheet columns to and map on the CSV import page. The rest will automatically be created.
