Integrate airfocus with Asana

The initial setup of a new Asana integration

First, sign up for airfocus or log into your existing account. Create a new workspace in airfocus or select the one you would like to integrate Asana with.

You can add multiple Asana integrations to a given workspace (e.g. for different Asana projects).

To do that, simply go to the Extensions section within your workspace, click on "Manage integrations" and Connect with Asana.

During the first setup, you also need to grant airfocus access to your Asana workspace. Click "Allow" on the popover that appears for the authorization with Asana.

Additionally in Asana, go to Test & distribute section, open manage distribution tab, and change value from specific workspaces (default) to Any workspaces.

Integration filtering

The first step is to add a name for your integration. This is especially helpful if you connect multiple Asana projects with one of your airfocus workspaces. You can then choose which of your Asana workspaces/projects you want to sync your airfocus workspace with.

Use filtering to define which Asana tasks you want to import into airfocus. Use tags filter if you want to only sync specific tasks from the project you selected. Leave the filters empty, if you want to include all tasks of the project in your sync.

Field mapping

Use mapping to define how information in Asana should be mapped to information in airfocus. If you change a task or item in one system, the other system will be adjusted accordingly. You are only able to map fields of the same type with each other.

When you take a look at the field mapping options, you'll see that two fields are always mapped by default: The item names and item descriptions.

You can set the mapping directions for all fields at once (as far as technically possible) with the “Set direction” button.

Mappable field types

By default, the mapping direction is set from Asana to airfocus and can be changed by the user to whatever is available for mapping. You can define for each of your fields whether you want to have a one-way synchronization or a two-way synchronization between the field in Asana and airfocus.

After selecting two select fields that you want to map you can select the field options and how they should be mapped:

⚠️ WARNING: Users can now enable two-way sync for the description field. However, the two-way syncing process might result in slight changes in your Asana task descriptions' content and formatting, as airfocus does not yet support 100% of the formatting options of Asana.

Notes

airfocus does not support timestamps. This means that the timestamps on your Asana tasks' date fields will be set to 00:00:00 if an airfocus item is synced to Asana. Also, note that if one of the date fields on Asana is not set or an Asana task has a due date set to before the start date, then airfocus will fill in the start date with a date one day before the due date.

In case you are trying to sync a percentage field from Asana to airfocus, you need to map it to an airfocus number field which has its unit set to "none" in the field settings. On the airfocus side, percentage values operate from 0....to 1 (where 1 is 100%, 0.1 - 10%, and so on).

Read-only fields in airfocus

airfocus fields that are mapped one-way from Asana to airfocus become read-only fields in airfocus, as any changes a user would make to them will be overwritten again with the next sync.

Additional settings

When Archive unknown tasks is enabled, then previously imported tasks will be archived in airfocus if they do not match the configured filters anymore.

When Automatic sync is enabled, your integration will automatically sync every 10 minutes and every time you access the workspace.

When you click View logs, you can view your Asana integration activity logs and see what changes were made before the last sync.
