Integrate airfocus with Microsoft Teams

Requirements

On airfocus

• User needs to have “Full” permissions to the workspace they want to configure the Microsoft Teams integration for.

On Microsoft Teams

• “Owner” users: Can add apps to any team by default.
• “Member” users: “Allow members to add and remove apps” needs to be enabled for the team you want to add the airfocus app to. Admins can change this setting via TeamName Manage team Settings Member permissions.

How it works

1. Login to your airfocus account and open Extensions > Manage integrations
   
2. Click on "Connect" on the tile for the Microsoft Teams app.
   
3. Add the airfocus app to your team on Microsoft Teams via the Microsoft Teams app store listing.
   
4. After successful installation you'll be redirected to the airfocus app bot's first welcome message, explaining how to use the app.
   
5. To push a message to airfocus, head to any of your team's conversations, hover over a message you'd like to create an airfocus item for, and click ... > More actions > Push to airfocus.
   
6. A popup will appear asking you to Sign in to your airfocus account (if you haven't already)
   
7. Once you have successfully signed into your team and account another popover will appear as a confirmation. Close this window to continue:
   
8. airfocus will be added to your team and the regular push to airfocus dialog will appear. You can select the workspace in which you want the item to be created and adjust the title, description, and first comment (under your name) on the item. Click "Send to airfocus" once done.
   
9. After the item is pushed successfully, the airfocus app for Microsoft Teams will automatically reply to the pushed message with a confirmation that features a link to the item created on click on the "Open in airfocus" button.
   
10. The airfocus item will feature:
    • A reference to the author of the message -> as its title.
    • The content of the message -> as its description.
    • The link to the original Microsoft Teams message -> to the bottom of the description.
    • A comment added in the push dialog (optional) -> as the first comment by the pushing user.
      
11. Once the status on the pushed airfocus item is changed for the first time, you will receive a notification on MS Teams in the same reply thread.
    
12. When you share airfocus item URLs they render as nice preview cards on Microsoft teams conversations/reply threads.
    

Important information

• Once the airfocus app is added to Microsoft Teams, each user needs to authenticate separately (the app is added to the workspace, but authentication works on a per-user level).
• Each authenticated user will only have access to push items to the workspaces they have at least "Write" access to.
• All other users may have access to authenticate. Still, they will NOT have access to create an item unless they explicitly have permission to create items within the workspace (so even if you're a contributor, you might be able to authenticate, but you will get an error when trying to push an item).
