Use reporting data in airfocus

Access reporting

Reporting is an Enterprise feature in airfocus available on a per-workspace level. Navigate to any workspace that you’d like to see an activity report for, click the kebab menu next to the workspace name, and click Reporting.

Anatomy of a report

Find an example annotated report with corresponding definitions for each number below:

Item count: This is the number of items that the report is reporting activity on for the specified time period (see #5). See an important caveat here.

Metric: This defines the metric to be reported on. We have two options: Item count and Completion time. Your choice here affects what is displayed on the graph’s y-axis.

Breakdown: The breakdown refers to the initial categorization or division of items into distinct groups based on the criteria you choose. What you select here defines what is displayed on the graph’s x-axis.

Some selections in the breakdown have a settings gear ⚙️ with further options. For example, if you are breaking down by Created, you can choose to display results on a weekly, monthly, or quarterly basis.

Segment: Segment refines your chosen breakdown by dividing it into more granular data subsets, providing additional detail and analysis.

Time period: The report will only report on activity that occurred during the time period defined in this option. See an important caveat here.

Filters: Add filters to only report on a certain subset of items, for example items that were created after a certain date, or assigned to a certain person.

Graph: This is a visual representation of the activity being reported. The y-axes are defined by the metric (see #2) and the x-axes by the breakdown (see #3).

Table: This is a tabulation of all results displayed in the chart, with rows defined by the field chosen in the breakdown (see #3).

Examples

Where in the product are the most opportunities?

We will look at all the opportunities that have arisen since the beginning of last year in one of our demo workspaces. This report looks at a breakdown of opportunities that were created after 1 January 2023, breaking these down by labels that were assigned to these since then.

Note that I also chose to sort this by item count, so it displays labels with the most to least opportunities on the x-axis (left to right).

We can see in this report that there have been a total of 15 opportunities created. The label that has most frequently been used is UX, closely followed by Growth.

What was the movement of feedback items last week?

Every Monday we take a look at the health of our feedback workspace. This morning (Monday 19th February 2024) I opened our internal feedback workspace and created a report to take a look at this for last week.

I set the date range to be from the Monday (12th February) to the Friday (16th February). Note that I did not add any date-related filter: I wanted a report on the status change of any feedback item during the week, regardless of when the item was created.

We can see that a lot of feedback was processed last week, and a good number of items also moved into Contact customer and Closed. We had a few big releases last week so this would make sense. Nice to see visually that we are addressing many customer requests 😊

What is the current status of all feedback that was reported last week?

As mentioned above, the previous report is NOT limited to items that were created last week. These items could have been created anytime - the report is simply showing the activity movement of all feedback items that occurred last week.

If I wanted to only see this report for items that were created last week, I need to add the following filter:

Now we can see a filtered report showing a summary of the current status only of items that were created last week:

In this report we can see that there are still 3 new feedback items that were reported last week that we have not yet attended to (in a status of New). The majority of feedback reported last week is in the Processed status, which makes sense as these have been attached to opportunities that still need to go through the prioritization process.

Who added the most feedback last quarter?

Let’s take a look at who added the most feedback items last quarter (Q4 2023).

I went to our feedback workspace and created a report looking at item count, breaking this down by Reporter. This is a custom people field we have set up in our feedback workspace, where a value is automatically assigned by the person adding the feedback:

I also added a filter for Reporter = defined, as we sometimes have feedback coming in from our portal and integrations, in which case there is no default value in the reporter field.

By looking at this chart, we can clearly see that three of our customer-facing colleagues ( all names changed ) are shooting the lights out. Great to see how much feedback they communicate to our team 🙂

Important caveats

Last year in dropdown

Last year here refers to the last 365 days from today's date, not the last calendar year.

Export your reports

We can also export the reports via CSV, PNG, and PDF. To export click on the three dots on the right of the Reporting app menu.

Note: If you filter your report with a "Custom start date" or "Custom date range", and share the link using the "Copy link" option with another user, the filter will default back to today's date. If you export to CSV, PDF, or PNG, the filter will remain.

Item limits

Like with all workspace views, reports have a limit of 1000 items. If you are setting up a report for a workspace that contains many items with a lot of activity over time, you may run into this limit. We will be working on improving this.

Completion time metric

The completion time metric is based on an item's creation date until its status category has moved to closed.
