Organize your workspaces into flexible folder structures for improved navigation, collaboration, and permission management.

Workspace groups allow you to organize your workspaces into dedicated folders (and sub-folders), helping you mirror your real-world team, product, or organizational structures in airfocus. They make it easier to scale your workspace setup, improve sidebar navigation, and streamline access control across your team.

Benefits

Workspace groups are especially useful for teams working across multiple initiatives, product lines, or departments. Here's what they help you do:

  • Organize workspaces into clear folders and hierarchies
  • Standardize sidebar navigation across the team with a shared structure
  • Manage access permissions on a group level
  • Scale with structure using nested groups (up to 3 levels deep)

How to create a workspace group

To create a new group:

  1. Click the "+" icon in your sidebar.
  2. Select New group.
  3. Give your group a name.
  4. Press Enter to create.

You can then:

  • Drag and drop existing workspaces into the group

  • Create new workspaces directly inside a group

  • Rearrange workspaces within a group
  • Move workspaces between different groups

Nested workspace groups

Workspace groups support nesting: You can create sub-groups within a parent group (up to 5 levels deep).

This allows you to reflect real-world structures, such as:

  • Business unit → Region → Product
  • Company → Department → Team

To nest a group, drag an existing group into another in the sidebar.

You can also create a new one by clicking the "+" icon in your sidebar within an already existing group.

Team-wide workspace sorting

Workspace and group order in the sidebar is shared across your team. This ensures a consistent navigation structure for all users.

Sorting behavior:

  • Top-level sorting (i.e. outside of groups) is managed in the Team settings by team admins.

  • Within a group, any user with Full access to that group can reorder workspaces and sub-groups via drag & drop.

Note: Workspace order is no longer personal. It’s now team-wide to ensure consistency.

Permissions and access

Workspace groups support both individual and team-level permissions.

A user's final access level to a workspace is determined by the highest of the following:

  • Workspace individual permissions
  • Workspace team permissions
  • Group individual permissions (if applicable)
  • Group team permissions (if applicable)

For example: If a user has “Read” access to a workspace but “Full” access to its group, the user will have Full access.

Reordering and moving workspaces

Action Required permissions
Move a workspace into a group Full access to the group and the workspace
Move between two groups Full access to both groups
Reorder inside a group Full access to that group
Reorder top-level items Admin access (Team settings)

Behavior when removing or deleting groups

When a workspace is moved out of a group, it becomes standalone.

When a group is deleted, all included workspaces move to the general section. The user who deletes the group receives Full access to those workspaces. Other users retain their individual workspace permissions. Group members do not automatically retain access to the removed workspaces unless set individually.

Things to keep in mind

  • Groups are visual and organizational: they do not impact features like hierarchy links, apps, or insights.
  • Workspace groups don’t override existing workspace settings: they add to them.
  • Sharing still happens on the view level within each workspace.
  • Applying a multi-workspace template will not automatically create a group.
  • Groups are optional: you can always work with standalone workspaces.
