This guide is for Enterprise admins who want to optimize the setup of their organizational groups. Organizational groups provide enhanced capabilities for user and license management, security, and compliance.
This enhanced group experience is applicable for all Enterprise accounts that are not using SCIM. SCIM accounts also have this option available, but it requires a migration.

Organizational groups introduction
Organizational groups are created by the account owner or an account admin to manage an account’s settings and its users in a more granular way. A user can only belong to one organizational group, which simplifies group administration and makes it clear which users are managed by each group.
There are multiple ways to structure your organizational groups to ensure it fits the needs of your account:
- Structure your groups around licensing or cost centers to help you track license costs and enable easier internal bill-back.
- Structure your groups around security settings.

Streamline user management
Assign admin responsibilities
If you want to delegate responsibilities of group management, we recommend assigning organizational group admins to a group. Organizational group admins can only manage the users and licenses within their assigned groups. This gives them a better view of their group's license management. Organization group admins are also valuable so account admins with broader responsibility don’t impede group management by delegating it to the group level. Use license limits
You have the option to set an optional maximum number of licenses that can be used by members of a group and its subgroups (since subgroups don't have their own limit). This helps you allocate licenses to groups based on budget.

Distributed security
If your account has purchased the Enterprise Shield add-on, it can be used in conjunction with organizational groups to apply more granular security settings. This is possible for sharing and publishing settings, as explained in our Lucid admin panel: Security settings article.
Internal back-billing
If you want to use organizational groups for internal bill-back, you can set up your groups by department or cost center, to provide more comprehensive financial accountability and tracking for expenses.
Exporting a view of your account’s users from the Users page will include a user’s organizational group and licensing status. This information can be used to determine how many licenses are allotted to each group to determine a group’s incurred costs.
To export the view of your account’s users as a CSV, follow these steps:
- Log into Lucid.
- Select Admin from the bottom of the left-side menu.
- Click Users in the left-hand menu.
- In the top-right corner, select Actions.
- In the dropdown menu, click Export view (CSV).

Distribute license settings by group
If you want to automate the process for granting licenses at the group level, you can update a group’s license settings. For example, you can set it so every member in one group receives a license immediately when requested while in another group, users will only receive a license when an admin purposefully approves their request.
